Executive Assistant

Key Responsibilities:
Direct, confidential involvement with the President of the firm:
· Manage full calendar, and ensure smooth transitions between daily, often back-to-back appointments.
· Handle correspondence, including heavy email management, categorizing, prioritizing, and responding to messages.
· Prepare and organize necessary materials for meetings and provide reminders and updates.
· Conduct task management, ensuring tasks are prioritized, completed, and updated.
· Organize and book travel for events and other frequent travel
· Manage personal and professional errands including meal pickups, deliveries, dry cleaning, car maintenance, childcare coordination.
· Coordinate personal appointments, family events, and company social functions.
General office management and support:
· Attend key meetings for notetaking, distributing action items, and following up on task completion.
· Order supplies, manage office spaces, and coordinate maintenance as needed.
· Perform administrative duties such as coordinating registration and travel for events, data entry, and print media.
· Oversee the coordination and planning of annual events, including the company Christmas party and picnic.
· Coordinate and prepare for employee appreciation events
· Maintain memberships and subscriptions.
· Other various tasks as required.
Skills:
· Exceptional time-management and organizational skills.
· Strong verbal and written communication abilities.
· Adaptability to dynamic schedules and tasks.
· Proficiency in Microsoft Office Suite.
· Ability to multitask and prioritize in a fast-paced environment.
Qualifications:
· Proven experience as an Executive Assistant in a similar, fast-paced well-rounded support role.
· Experience in handling a wide range of administrative and executive support-related tasks and expanding duties over time.
· Ability to work independently with minimal supervision.
· Discretion and confidentiality are paramount.
· High degree of discretion and a commitment to maintaining confidentiality.
· 3-5 years equivalent experience.

Pay: $55,000.00 - $75,000.00 per year
