Executive Assistant

We are seeking a full-time Executive Assistant and Operations Coordinator to support a founder across multiple businesses, including a construction and home services company.

This is a high-trust, high-responsibility role focused on creating leverage for the founder by removing friction, increasing organization, and ensuring day-to-day execution runs smoothly and consistently. You will play a critical role in enabling the founder to stay focused on the most important priorities by taking ownership of administrative, operational, and logistical responsibilities.

This role combines administrative excellence with hands-on operational support. You will be responsible for managing day to day execution, protecting time, and ensuring that nothing falls through the cracks, while also supporting field and construction-related needs.

This is not a passive administrative role. You will be expected to take ownership, act with urgency, and handle a wide range of responsibilities with consistency and care. The right person is highly organized, proactive, hard-working, and kind.

Key Responsibilities

  • Executive Support
  • Manage email and calendar with precision and responsiveness
  • Organize and prioritize incoming requests and ensure timely follow-up
  • Coordinate meetings, logistics, and communications across multiple businesses
  • Track tasks and ensure completion without reminders
  • Continuously improve organization and workflows to reduce demands on the founder

Operations & Project Support

  • Assist with coordination across ongoing projects, ensuring clarity, organization, and follow-through
  • Support small projects independently from start to finish
  • Identify gaps or issues and take action to resolve them
  • Create structure and systems that improve efficiency over time

Construction & Field Support

  • Pick up and deliver materials to job sites as needed
  • Visit job sites to check progress and provide updates
  • Meet subcontractors on site to provide access or coordination
  • Help ensure projects are organized, clean, and progressing as expected
  • Communicate any issues clearly and promptly

Daily Execution and Communication

  • Run daily systems, including tracking, prioritization, and end-of-day updates
  • Provide clear summaries of completed work, open items, and next steps
  • Maintain organization across all areas of responsibility

General Support

  • Assist with a range of business and personal tasks as needed
  • Take initiative to improve systems and make work more efficient over time
  • Reduce friction and create clarity across all areas of responsibility

Requirements

  • Based in or near Philadelphia and able to travel locally as needed
  • Valid driver's license and reliable transportation
  • Prior experience supporting an executive strongly preferred
  • Construction or field experience preferred
  • Highly organized with strong attention to detail
  • Excellent communication skills, both written and verbal
  • Able to manage multiple priorities and operate independently
  • High level of discretion and reliability

Work Expectations

  • Full-time role

Compensation and Benefits

  • Salary of $65,000 per year

Pay: $60,000.00 - $65,000.00 per year
