We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support a C-Level executive. This role goes beyond traditional administrative support and requires strong business acumen, project coordination skills, and the ability to operate as a strategic partner. The ideal candidate will manage executive operations, streamline workflows, and contribute to cross-functional initiatives, including help desk process improvements.
Key Responsibilities:
Executive Support
- Manage complex and dynamic calendars, including scheduling internal and external meetings across multiple time zones
- Coordinate travel arrangements, itineraries, and logistics
- Act as a gatekeeper and liaison between the executive and internal/external stakeholders
- Prepare agendas, briefing materials, and follow-ups for meetings
Document Management & Content Creation
- Review, edit, and format executive-level documents, presentations, and communications
- Draft emails, reports, proposals, and internal communications on behalf of the executive
- Ensure consistency, accuracy, and professionalism across all documentation
- Maintain organized document repositories and version control
Project Oversight & Coordination
- Track and manage key initiatives on behalf of the executive
- Coordinate with department leads to ensure project milestones are met
- Identify risks, bottlenecks, and dependencies and escalate as needed
- Assist in prioritization and execution of strategic initiatives
Summarization & Reporting
- Attend meetings and provide concise summaries, action items, and follow-ups
- Create executive dashboards and status reports for ongoing projects
- Synthesize complex information into clear, actionable insights
Qualifications
- Bachelor’s degree or equivalent experience
- Strong organizational and time management skills with the ability to prioritize effectively
- Exceptional written and verbal communication skills
- Experience with project coordination or project management tools (e.g., Jira, Asana, Monday.com, or similar)
- Proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams)
- Ability to handle sensitive and confidential information with discretion
