Executive Assistant

ESSENTIAL FUNCTIONS:

  • Manage and optimize executive calendars, including scheduling meetings, appointments, and high-level engagements.
  • Coordinate domestic and international travel, prepare detailed itineraries, and support expense reporting.
  • Prepare, edit, and organize presentations, reports, and confidential documents for internal and external meetings.
  • Track deadlines, follow up on action items, and ensure alignment with organizational priorities.
  • Server as the primary contact between executives and internal/external stakeholders.
  • Screen and prioritize emails, calls, and correspondence, to ensure timely responses.
  • Maintain strong professional relationships across departments to support cross-functional collaborations.
  • Assist with special projects by coordinating resources, gathering information, and monitoring progress.
  • Support strategic initiatives by organizing workflows, preparing briefings, and ensuring follow-through on key objectives.
  • Handle operational tasks such as office coordination, supply management, or oversight of administrative staff when needed.

  • Experience supporting executive teams
  • Strong interpersonal skills and ability to build trust quickly
  • Adaptability and comfort working in dynamic, evolving environments
  • Strong written and verbal communication skills, including professional correspondence and presentation preparation.
  • High Level of discretion when handing confidential information
  • Ability to anticipate needs, solve problems actively, and operate with minimal supervision.

EDUCATION: High school diploma required; Bachelor’s degree in Business Administration or related filed preferred.


EXPERIENCE: 5 + years of experience supporting senior executive in a corporate or fast paced environment. Exceptional organizational skills, with the ability to manage multiple priorities.


LICENSES OR CERTIFICATIONS: Be able to obtain/maintain Eastern Shawnee Tribe of Oklahoma gaming license.


PHYSICAL REQUIREMENTS: Prolonged periods sitting at a desk and working on a computer. Must be able to lift up to 15 pounds at a time, and have full dexterity.


Position Summary: The Executive Assistant (EA) serves as a trusted partner to senior leadership by managing complex schedules, coordinating communications, and supporting strategic initiatives. This role requires exceptional judgement, professionalism, and the ability to anticipate needs in a fast-paced environment.
