Executive Assistant

I need some help. I run a law firm, have several properties under management, run the maintenance and construction crew for those properties, and operate a small car dealership.

I want someone that can stay on top of all the stuff I can't because I am busy doing my active parts of the above businesses. Most of my time is spent in the law firm, and that is where you would be based. You would need to become very familiar with all of my businesses, and help manage my calendar, emails, financials, and day to day activities.

Duties

  • Keep executive in line and grounded with reality
  • Manage complex calendars, schedule meetings, and coordinate appointments for executive with precision and attention to detail
  • When necessary Handle incoming calls using multi-line phone systems with professionalism and courtesy, ensuring prompt and effective communication
  • Prepare, proofread, and distribute correspondence, reports, and presentations using Microsoft Office
  • Maintain organized filing systems, handle data entry tasks, and manage confidential information securely
  • Support office management tasks such as supply ordering, mail distribution, and front desk operations including greeting visitors and managing the reception area
  • Assist with bookkeeping tasks using QuickBooks to track expenses and invoices
  • Provide personal assistant support including calendar management, task prioritization to enhance executive productivity, maybe occasional travel arrangements.

Skills

  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
  • Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
  • Exceptional phone etiquette and experience managing multi-line phone systems with professionalism
  • Bilingual English/Spanish abilities are highly valued to effectively communicate with diverse clients and team members
  • Proven clerical experience including data entry, filing, proofreading, and customer service excellence
  • Knowledge of office management procedures combined with strong time management skills to meet deadlines consistently
  • Experience in medical or dental receptionist roles or as a personal assistant is advantageous but not required; a willingness to learn is essential

Pay: $44,317.98 - $58,189.39 per year
