Executive Assistant

The Executive Assistant is the organizational hub of Calvary Chapel Eagle. This role keeps the office running, the executive team supported, and the operations infrastructure equipped to serve the rest of the church. It’s a behind-the-scenes role with front-line impact—the person who ensures that nothing falls through the cracks so the rest of the team can focus on ministry.

This role serves three functions: administrative support to the executive team (including the Senior Pastor), general office administration, and operational support within the Operations department. Working under the leadership of the Executive Pastor of Operations, this person collaboratively prioritizes tasks and executes them with a high degree of ownership. It requires someone who is highly organized, relationally warm, comfortable managing confidential information, and energized by helping others succeed.

Key Responsibilities

1. Provide Executive Team Support

  • Manage the Senior Pastor’s calendar as directed: schedule meetings, protect preparation time, coordinate appointments, and resolve conflicts.
  • Draft, edit, and send communications on behalf of the executive team as directed (emails, letters, internal messages).
  • Prepare materials and agendas for meetings the executive team leads or attends.
  • Serve as a professional point of contact for requests directed to the executive team, routing appropriately and following up.
  • Handle sensitive and confidential information with complete discretion—pastoral situations, personnel matters, and leadership decisions.

2. Own Office Administration

  • Answer and direct incoming phone calls with warmth and professionalism.
  • Monitor and respond to the general church email inbox, routing messages to the appropriate staff member.
  • Manage incoming and outgoing mail, deliveries, and office supplies.
  • Maintain an organized, clean, and welcoming office environment.
  • Serve as the first point of contact for visitors, vendors, and contractors who come to the office during the week.

3. Support Operations and Sunday Environments

  • Assist with accounts payable and receivable processing, expense tracking, and basic bookkeeping tasks as directed.
  • Support the hiring process: post job listings, coordinate interview scheduling, prepare onboarding materials, and maintain personnel files.
  • Help maintain and update data in Planning Center and other church systems as needed.
  • Manage the CStore (merchandise) on Sunday mornings: inventory, display, volunteer scheduling, and point-of-sale operations.
  • Manage the Café on Sunday mornings: supplies, setup coordination, volunteer scheduling, and quality standards.

4. Coordinate Events and Meetings

  • Coordinate logistics for staff meetings, leadership meetings, and quarterly off-sites.
  • Assist with event registration, volunteer communication, and day-of logistics as needed.
  • Maintain the church’s internal calendar and help prevent scheduling conflicts across ministries.
  • Track action items from meetings and follow up with responsible parties to ensure completion.

5. Handle Confidential and Pastoral Administration

  • Maintain confidentiality and handle sensitive pastoral communications (prayer requests, counseling referrals, benevolence requests) with discretion and compassion.
  • Manage access to confidential files and documents, ensuring they are stored securely.
  • Exercise sound judgment in determining what to share, with whom, and when—defaulting to discretion in all ambiguous situations.

Qualifications

  • A growing personal relationship with Jesus Christ and alignment with the mission and values of Calvary Chapel Eagle
  • Demonstrated ability to handle confidential and sensitive information with absolute discretion
  • Strong organizational skills with the ability to manage multiple priorities and shifting demands simultaneously
  • Excellent written and verbal communication skills—professional, warm, and clear
  • Proficiency with standard office tools (email, calendaring, word processing, spreadsheets) and the ability to learn church-specific platforms (Planning Center)
  • A collaborative, service-oriented disposition—someone who finds satisfaction in helping others do their best work
  • Prior administrative or office management experience (minimum 2 years preferred)
  • Experience supporting a senior leader or executive team preferred

About Calvary Chapel Eagle

Located in Idaho’s beautiful Treasure Valley, Calvary Chapel Eagle relaunched in October 2023 under the leadership of Pastor Brenen Beeler. Since then, we’ve seen over 250 first-time commitments to Christ, more than 140 baptisms, and over 30 small groups launched. Our church is growing rapidly, and we’re passionate about seeing revival in our community and helping people become fully devoted followers of Jesus. Pay: $15.00 per hour
