Executive Assistant

Overview
We are seeking a highly organized and proactive Executive Assistant to join our dynamic team. Duties

  • Manage and coordinate complex calendars, scheduling meetings, appointments, and travel arrangements efficiently
  • Serve as the first point of contact at the front desk, greeting visitors and handling multi-line phone systems with professionalism and courtesy
  • Prepare, proofread, and organize correspondence, reports, and presentations using Microsoft Office and Google Workspace tools
  • Handle data entry, filing, and document management to ensure accuracy and accessibility of information
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software, including invoicing and expense tracking
  • Provide exceptional customer service support by addressing inquiries promptly via phone or email
  • Support office management activities such as ordering supplies, maintaining office equipment, and overseeing clerical functions

Requirements

  • Proven experience as an executive assistant or in a similar administrative role with office management responsibilities
  • Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry skills
  • Excellent organizational skills with the ability to prioritize tasks effectively in a busy environment
  • Bilingual abilities are highly desirable to assist diverse client needs and enhance communication
  • Experience with multi-line phone systems, front desk operations, and professional phone etiquette
  • Knowledge of bookkeeping procedures using QuickBooks or comparable software is a plus
  • Demonstrated ability to handle confidential information discreetly and maintain professionalism at all times
  • Strong typing skills along with proofreading capabilities to ensure error-free documentation
  • Personal assistant experience or background in medical or dental receptionist roles is advantageous
  • Exceptional time management skills to coordinate multiple projects simultaneously

Pay: $23.56 - $28.56 per hour
