Executive Assistant

Overview
We are seeking a dynamic and highly organized Executive Assistant to join our team and support our leadership with efficiency and professionalism. This role is vital in ensuring smooth daily operations, managing schedules, and providing exceptional administrative support. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, ready to handle a variety of tasks with enthusiasm and precision. Duties

  • Manage complex calendars, schedule appointments, meetings, and travel arrangements for executives
  • Handle incoming calls using multi-line phone systems with professionalism and courtesy, directing inquiries appropriately
  • Prepare, proofread, and edit correspondence, reports, and presentations to ensure accuracy and clarity
  • Maintain organized filing systems both physically and digitally, including data entry and document management
  • Assist with office management tasks such as supply ordering, equipment maintenance, and front desk responsibilities
  • Provide exceptional customer service by supporting clients, visitors, and team members with a friendly attitude
  • Coordinate personal assistant duties including reminders, event planning, and personal errands as needed

Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and/or Google Workspace applications
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment
  • Excellent typing speed and computer literacy for efficient data entry and document preparation
  • Experience with office management systems such as QuickBooks or similar bookkeeping tools is a plus
  • Bilingual abilities to communicate effectively with diverse clients and team members
  • Knowledge of phone etiquette and customer support best practices to enhance client interactions
  • Proven clerical experience in office settings or as a receptionist, including front desk duties or medical/dental receptionist roles
  • Strong time management skills to handle multiple responsibilities simultaneously while maintaining attention to detail
