Position Overview:
We are a client-focused financial advisory practice seeking a professional, detail-oriented Executive Assistant to serve as the first point of contact for our clients while supporting daily operations. This role is critical to delivering a high-quality client experience and ensuring the office runs efficiently.

The ideal candidate is organized, personable, and comfortable handling both front desk responsibilities and administrative support in a fast-paced, service-driven environment.

Key Responsibilities:

  • Greet clients warmly and create a professional, welcoming office environment
  • Answer and route incoming phone calls with professionalism and efficiency
  • Manage front desk operations and maintain an organized reception area
  • Schedule client meetings and manage advisor calendars
  • Prepare and organize client paperwork and documentation
  • Assist with account servicing tasks and follow-up communication
  • Handle incoming/outgoing mail and maintain accurate client records
  • Support advisors and team members with administrative tasks and projects
  • Ensure confidentiality and proper handling of sensitive financial information

Qualifications:

  • Strong interpersonal and communication skills; client-first mindset
  • High level of organization and attention to detail
  • Proficient with computers and office software (Microsoft Office, email, CRM systems)
  • Ability to multitask and prioritize in a deadline-driven environment
  • Professional demeanor and appearance
  • Team-oriented with a proactive, “get it done” attitude
  • Previous administrative, client service, or financial services experience preferred
