Our Client is seeking a highly organized, proactive, and detail-oriented Executive Assistant to support a high-net-worth entrepreneur who owns and operates multiple businesses across diverse industries. This is a high-visibility, fast-paced role for someone who thrives under pressure, anticipates needs before they arise, and can seamlessly manage both professional and executive-level personal operations with discretion and precision.

Key Responsibilities
Executive Support
- Manage complex calendars across multiple businesses and personal commitments
- Coordinate meetings, calls, travel arrangements, and itineraries
- Prepare agendas, presentations, reports, and correspondence
- Serve as a gatekeeper and strategic partner to the executive
- Prioritize incoming requests and communications efficiently
Operations & Coordination
- Assist in overseeing day-to-day administrative operations across multiple companies
- Coordinate with vendors, leadership teams, clients, and external partners
- Track deadlines, projects, follow-ups, and action items
- Organize and maintain highly detailed digital and physical records
- Support event planning, executive meetings, and special projects
Accounting & Financial Administration
- Assist with invoice management, expense tracking, and vendor payments
- Coordinate with accounting, payroll, and finance teams across multiple businesses
- Maintain organized financial records and documentation
- Reconcile receipts, expense reports, and credit card statements
- Monitor due dates and ensure timely processing of bills and payments
- Assist with budgeting reports, spreadsheets, and financial tracking
- Support onboarding and management of vendors and service providers
- Maintain strict confidentiality regarding financial and business information
Personal Executive Assistance
- Manage confidential personal matters and scheduling
- Coordinate reservations, appointments, and travel logistics
- Handle time-sensitive requests with urgency and professionalism
- Ensure seamless coordination between personal and business responsibilities
Qualifications
- 3+ years of Executive Assistant experience supporting senior leadership or high-net-worth individuals
- Exceptional organizational and multitasking abilities
- Strong attention to detail with the ability to anticipate needs
- Ability to thrive in a fast-paced, constantly evolving environment
- Excellent written and verbal communication skills
- High level of discretion and confidentiality
- Strong proficiency in Microsoft Office, Google Workspace, and scheduling platforms
- Ability to work independently with minimal oversight
- Professional demeanor and polished presentation
Preferred Qualifications
- Experience supporting an entrepreneur or owner of multiple businesses
- Background in luxury service, private executive support, or high-level administration
- Experience coordinating travel, events, and executive operations
- Project management experience is a plus
Pay: From $70,000.00 per year
