We are seeking a highly organized, resourceful, and proactive Executive Assistant to provide high-level support to the CEO in a fast-paced logistics and supply chain environment. This role requires strong attention to detail, the ability to manage competing priorities, and a high level of discretion. The ideal candidate is adaptable, solutions-oriented, and capable of supporting both executive and operational needs.
Key Responsibilities
- Manage the CEO’s calendar, including scheduling meetings, calls, and coordinating across multiple time zones (domestic and international)
- Act as a liaison between the CEO and internal departments (operations, warehouse, accounting) as well as external partners (clients, carriers, vendors)
- Prepare and review correspondence, reports, presentations, and internal communications
- Track and follow up on key action items, ensuring deadlines are met across departments
- Assist with contract coordination, document management, and maintaining organized records
- Support the CEO with operational tasks, including the coordination of shipments, urgent client matters, and escalation handling when needed
- Coordinate meetings, prepare agendas, and take meeting notes with follow-up tracking
- Handle confidential business and personnel information with discretion
- Assist with special projects, including process improvements and cross-functional initiatives
- Support company events, executive meetings, and internal communications
Qualifications
- Bachelor’s degree preferred
- Strong organizational and multitasking skills in a fast-paced environment
- Excellent written and verbal communication skills
- High level of professionalism, discretion, and problem-solving ability
- Proficiency in Microsoft Office (Outlook, Excel, Word, PowerPoint)
- Ability to prioritize, anticipate needs, and work independently
- Bilingual (English/Mandarin) is a plus
