Overview
We are seeking a dynamic and highly organized Executive Assistant to join our team! Duties
- Manage executive calendars with precision, scheduling meetings, appointments, and travel arrangements efficiently.
- Handle incoming calls using multi-line phone systems, directing inquiries with professionalism and courtesy while maintaining excellent phone etiquette.
- Prepare, proofread, and organize correspondence, reports, presentations, and other documents using Microsoft Office and Google Workspace tools.
- Coordinate office operations including filing, data entry, bookkeeping with QuickBooks, and maintaining organized records for easy retrieval.
- Serve as a front desk representative by greeting visitors, managing office supplies, and overseeing general office management tasks.
- Provide exceptional customer service support by assisting clients or visitors promptly and courteously.
- Support personal assistant duties such as calendar management, appointment scheduling, and task prioritization to ensure executive productivity.
Qualifications
- Proven experience in an administrative or clerical role with strong office management skills.
- Excellent computer literacy including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry skills.
- Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Bilingual abilities are highly desirable to communicate with diverse clients and team members.
- Experience with multi-line phone systems, front desk operations, and customer support is preferred.
- Demonstrated attention to detail through proofreading and accurate data entry.
- Knowledge of office equipment such as printers, scanners, and fax machines; familiarity with bookkeeping or QuickBooks is a plus.
