Executive Assistant

Job Summary
We are seeking a dynamic and highly organized Executive Assistant to support our leadership team and ensure the smooth operation of daily business activities. This role is vital in managing schedules, coordinating communications, and handling administrative tasks with precision and professionalism. The ideal candidate will possess exceptional organizational skills, strong computer literacy, and a proactive attitude to keep our executive team focused on strategic priorities. Bilingual abilities are a plus, as well as experience in office management and customer service. Duties

  • Manage complex calendars, schedule appointments, and coordinate meetings efficiently to maximize productivity.
  • Suports ownership in personal task
  • Handle incoming calls using multi-line phone systems with professionalism and excellent phone etiquette
  • Provide exceptional customer support and client communication via phone, email, and in person
  • Prepare, proofread, and organize correspondence, reports, and presentations with attention to detail
  • Maintain organized filing systems—both digital (Google Workspace, Microsoft Office) and physical—to ensure quick retrieval of documents
  • Assist with data entry, bookkeeping using QuickBooks, and basic office management tasks to support daily operations
  • Support personal assistant responsibilities such as travel arrangements, event planning, and personal errands for executives

Experience

  • Proven office experience or clerical background demonstrating strong organizational skills and multitasking ability
  • Prior experience in administrative roles such as receptionist, medical or dental receptionist, or executive assistant preferred
  • Familiarity with office software including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Drive), and data entry tools
  • Knowledge of bookkeeping software like QuickBooks is advantageous
  • Excellent typing speed and accuracy along with proofreading skills to ensure error-free documents
  • Strong interpersonal skills with the ability to communicate effectively in bilingual settings if applicable
  • Demonstrated ability to manage time efficiently in fast-paced environments while maintaining professionalism
