Position Overview:
The executive assistant reports directly to Adam and is responsible for maintaining organization for the managing attorney as it relates to both internal and external goals. The main priorities for the executive assistant are to document the managing attorney’s needs, providing adequate follow-up on outstanding action items, and create organization to ensure that information, tasks, etc. do not slip through the cracks. This role is more than your standard EA, it requires participation in high level discussions in an ever-growing business, if you want a chance to be part of the best, this role is for you.
Responsibilities:
- Maintain professional verbal and written communication when working with the Managing attorney and when relaying his direct orders to staff
- Act as a liaison between the founder and staff, facilitating communication and follow-through on initiatives.
- Develop and implement organizational standards to ensure documentation of Adam to do lists and upcoming events with timely follow-up
- Work with the managing attorney to ensure that tasks are completed within assigned deadlines and that communication does not go unanswered
- Prepare agendas, take detailed notes, and ensure timely follow-up on meeting action items. Document via teams, basecamp and any other applicable site.
- Review and distribute emails from backup email for AJZ.
- Coordinate and facilitate timely calendar entries to meet all AJZ goals.
- Follow-up on outstanding projects via teams, email and in-person meetings
- Offer uplift on current goals and projects to ensure completion to AJZ standards
- Adapt quickly to shifting priorities and new tasks assigned by AJZ.
- Ensure protections are in place for AJZ and firm when internal and external problems arise
- Be proactive in follow-up and operate without constant oversight
- Anticipate needs of the Managing attorney and prepare proposed solutions before they are brought to the attention of leadership
- Anticipate possible setbacks and propose solutions to overcome business obstacles
- Communicate via various mechanisms to ensure that AJZ has oversight of the firm and each of its departments
- Assist as needed with scheduling travel as required for networking opportunities
- Additional duties as assigned by AJZ

Pay: $50,000.00 - $70,000.00 per year
