Executive Assistant (Hybrid)

We’re hiring a highly skilled, proactive, and tech-savvy Executive Assistant to support day-to-day operations across leadership and teams. This role demands high initiative, independent execution, and comfort operating in a fast-paced environment.
Key Responsibilities
- Task Execution: Execute assigned tasks promptly and accurately.
- Tools Proficiency: Power user of Microsoft Office, Google Workspace, and Notion (must).
- Adaptability: Research independently, learn fast, and implement solutions without step-by-step guidance.
- Multitasking & Deadlines: Juggle multiple priorities and consistently meet deadlines.
- Relentless Follow-ups: Track open items and drive them to closure.
- Email & Communication: Draft polished, professional emails and manage multi-thread follow-ups.
- Client Interaction (Foreign Clients): Communicate fluently with international clients via calls/Zoom; handle time-zone coordination and professional etiquette.
- Team Coordination (Hybrid):
- Run regular team meetings/standups (virtual and on-site as needed).
- Check progress against tasks, KPIs, and deadlines; escalate blockers.
- Coordinate day-to-day tasks with team members; maintain action trackers.
- Track attendance, task performance, and hold stakeholders accountable.
- Meetings: Manage calendars, schedule cross-time-zone meetings, prepare agendas, and take action-oriented minutes.
- Confidentiality: Handle sensitive information with absolute discretion.
- Time Management: Prioritize effectively without reminders.
- Problem Solving: Think clearly and act independently under pressure.
Requirements — Non-Negotiable
- Hybrid Experience: Prior experience working in a hybrid setup (onsite + remote).
- Experience: 5+ years in an assistant or executive support role.
- Foreign Client Experience: Proven history working with international/foreign clients; strong cross-cultural communication.
- Tools: Proficiency with Microsoft Office, Google Workspace, Notion, Zoom, Slack, and task/project trackers.
- Self-Starter: Minimal hand-holding; able to contribute immediately.
- English Fluency: Strong verbal and written English.
- Autonomy & Pressure: Operates without constant supervision; meets tight deadlines calmly.
- Time-Zone Flexibility: Comfortable with limited overlap windows for foreign clients.
Qualifications
- Solid track record supporting senior leaders/teams in hybrid environments.
- Daily-use proficiency in Notion is a major plus.
- Exceptional communication, organization, and time-management skills.
- Thrives in a fast-changing, remote-plus-onsite culture.
