Executive Assistant / Personal Assistant

A Los Angeles–based creative executive in the entertainment industry is seeking a highly organized, proactive, and polished Executive Assistant/Personal Assistant to serve as a trusted right hand in both professional and personal capacities. This role is ideal for a highly capable agency assistant, coordinator, or experienced executive/personal assistant looking to step into a high-impact position with broad exposure and meaningful responsibility. Candidates with experience at CAA, WME, UTA, talent management companies, production companies, studios, or creative agencies are strongly encouraged to apply.

The position blends traditional executive support with personal assistant responsibilities and requires someone who is highly adaptable, discreet, and capable of managing both professional and personal logistics with ease. The ideal candidate is proactive, detail-oriented, solution-oriented, and able to anticipate needs, solve problems independently, and execute with minimal direction. This person should be a thoughtful communicator who is comfortable interacting with a wide range of professionals, including agents, talent managers, business associates, and creative teams.

This is a Los Angeles-based hybrid role and requires a local candidate with flexibility for occasional travel and availability outside of standard business hours, including evenings and weekends as needed.

Key Responsibilities

Executive Support

  • Manage complex and ever-changing calendars across multiple time zones
  • Coordinate high-volume scheduling including meetings, calls, events, and industry engagements
  • Manage and prioritize email communications on behalf of the executive
  • Prepare meeting materials, briefing notes, and follow-up action items
  • Assist with preparation of presentations, decks, and creative materials
  • Track projects, deadlines, and deliverables

Personal Assistant Support

  • Coordinate personal scheduling and appointments
  • Manage household logistics and personal errands
  • Assist with travel planning including personal and family travel
  • Coordinate events, dinners, reservations, and personal engagements
  • Support family-related needs as required

Creative & Social Media Support

  • Assist with drafting or coordinating social media content
  • Help curate posts and maintain social media presence
  • Assist with creative materials including presentation decks or simple graphics
  • Assist with wardrobe/styling coordination or creative preparation when needed

Industry & Production Coordination

  • Liaise with agents, managers, publicists, and business partners
  • Coordinate logistics for projects, productions, or on-set needs when required
  • Assist with talent coordination and communication
  • Help organize project materials and production schedules

Administrative & Operations

  • Maintain organized digital files and document systems
  • Track projects, tasks, and deadlines
  • Conduct research and compile summaries
  • Track expenses and receipts
  • Coordinate logistics across multiple stakeholders

Candidate Profile

Required Qualifications

  • Must be based in Los Angeles, California
  • Valid driver’s license and reliable transportation
  • Active auto insurance
  • Willingness to travel occasionally
  • Availability outside traditional business hours when necessary
  • Proficiency with:
  • Google Workspace (Drive, Docs, Sheets, Calendar)
  • Microsoft Office Suite

Preferred Experience

Strong preference will be given to candidates with experience in:

  • Supporting creative executives, talent or producers
  • Experience working in entertainment, talent agencies, management companies, or production environments
  • Top talent agencies (CAA, WME, UTA)
  • Talent management companies
  • Production companies or studios
  • Background in creative fields such as design, fashion/styling, media, or the arts

Additional helpful experience includes:

  • Social media management
  • Creative production environments or on-set experience
  • Coordinating with agents, talent, and entertainment industry stakeholders

A bachelor’s degree is preferred but not required.

Physical Requirements

  • Ability to walk, stand, or assist in active environments such as production sets
  • Ability to lift or carry light materials as needed

Pay: $73,000.00 - $75,000.00 per year
