Reports to: President and Chief Operating Officer

Estimated Start Date: ASAP

Advanced English (100%): Fluent in reading, writing, and speaking.

This role goes beyond traditional administrative support. It’s about being a trusted right hand to fast-moving executives, ensuring their time, priorities, and daily operations are handled seamlessly so they can focus on strategy, client success, and growth. You’ll balance executive-level coordination with hands-on personal assistance, anticipating needs and keeping everything running smoothly.

We’re seeking someone who is obsessively organized, tech-savvy, process-minded, and fluent in the language of business. You thrive in dynamic environments, juggle multiple priorities with ease, and communicate clearly and professionally in English, both written and verbal.

What You’ll DoExecutive & Business Support

· Provide high-level administrative support to C-suite leaders, amplifying their impact across client relationships, internal initiatives, and revenue-driving activities

· Act as a trusted extension of the executives by managing calendars, meetings, priorities, and follow-ups

· Prepare agendas, presentations, correspondence, and briefing materials

· Track and manage multiple concurrent projects, deadlines, and action items to completion

· Serve as a professional point of contact with internal teams, partners, and clients

Personal Assistant & Daily Operations Support

· Manage travel arrangements, itineraries, and expense reporting

· Handle personal scheduling needs, reminders, and logistics as requested

· Coordinate appointments, reservations, and time-sensitive personal tasks

· Anticipate needs and proactively resolve issues before they escalate

· Maintain discretion and confidentiality at all times

Organization, Process & Efficiency

· Proactively identify inefficiencies in workflows and suggest improved processes

· Organize files, documents, and information systems for easy access and clarity

· Ensure nothing falls through the cracks by maintaining task lists and priority trackers

· Support execution across key initiatives by keeping plans organized and moving forward

Onsite & Local Support

· Serve as reliable local presence for day-to-day needs

· Provide hands-on, physical support for internal and customer events (setup, coordination, and on-the-ground logistics)

· Help maintain a professional, well-stocked environment (managing supplies, light organization, and ensuring key areas are ready for guests)

· Coordinate with local vendors and service providers as needed (scheduling, access, deliveries, and follow-ups)

· Handle local pick-ups and drop-offs, including meals, items and other time-sensitive needs

· Support local PA activities as requested (errands, pick-up/delivery runs) and assist with daily office opening/closing

What You Bring

· Exceptional English fluency — polished, professional, and confident in both written and spoken communication

· Strong organizational skills with the ability to manage competing priorities with precision

· High attention to detail paired with the ability to see the big picture

· Comfort handling both strategic executive support and day-to-day personal assistance

· A proactive, service-oriented mindset — you anticipate needs rather than waiting to be asked

· Tech-forward approach — energized by productivity tools, platforms, and systems

· Ability to remain calm, adaptable, and solutions-focused under pressure

· Proficiency with calendars, spreadsheets, document tools, and online communication platforms

· Experience supporting senior executives in a fast-paced or high-growth environment

· Familiarity with sales operations, client-facing teams, or revenue-driven organizations

· Background in project coordination, operations, or business support roles

· Experience managing travel, expenses, and personal logistics for executives
