Position Overview
We are seeking a highly organized, detail-oriented Executive Assistant to support the CEO in daily operations, with a strong focus on paperwork, documentation, and coordination across legal, real estate, and development projects.
This role requires someone who is proactive, discreet, and capable of handling complex administrative and legal-support tasks in a fast-paced environment.
Key Responsibilities
- Manage and organize contracts, legal documents, and project files
- Assist CEO with daily administrative tasks and scheduling
- Coordinate with attorneys, consultants, lenders, and project teams
- Review, draft, and track agreements, invoices, and correspondence
- Support real estate development projects with documentation and follow-ups
- Maintain proper filing systems (digital & physical)
- Assist with escrow, title, and transaction-related paperwork
- Prepare reports, presentations, and internal communications
- Handle confidential information with discretion
Qualifications
- Bachelor’s degree preferred
- 4+ years experience as:
- Executive Assistant / CEO Assistant
- Legal Assistant / Paralegal (highly preferred)
- Strong experience in document handling and paperwork management
- Familiarity with real estate, development, or finance industry is a plus
- Excellent organizational and multitasking skills
- Strong written and verbal communication skills (English required; Mandarin is a plus)
- Proficiency in Microsoft Office / Google Workspace
- Ability to work independently and manage priorities effectively
Preferred Background
- Experience working with law firms or legal documentation
- Exposure to real estate transactions, escrow, or development projects
- Ability to understand and track contracts and compliance requirements
