Roles and Responsibilities:

  • Executive Support:
  • Provide high-level administrative and executive support to the Managing Director (MD).

Management Information System (MIS) & Reporting:

  • Prepare, maintain, and analyze weekly, monthly, and quarterly MIS reports for management review.
  • Collect data from various departments and ensure accuracy in all financial and operational reports.
  • Present insights and summaries highlighting key performance indicators (KPIs), variances, and trends.
  • Support the MD in decision-making by providing accurate, concise, and well-structured information.

Financial Coordination:

  • Assist in preparing financial statements, budgets, forecasts, and expense reports.
  • Track departmental and project expenditures, ensuring compliance with approved budgets.
  • Liaise with the accounts and finance team to ensure timely reporting, reconciliation, and documentation.
  • Maintain records of vendor payments, invoices, and approvals for MD’s review.

Administrative & Office Management:

  • Manage correspondence, internal communication, and documentation flow between the MD’s office and other departments.
  • Organize and maintain an efficient filing system for business and financial documents.
  • Support event coordination, board meetings, and external business engagements.
  • Monitor project timelines and ensure deadlines are met as per the MD’s directives.

Communication & Coordination:

  • Serve as the primary point of contact between the MD and internal/external stakeholders.
  • Draft professional emails, reports, and presentations on behalf of the MD.
  • Maintain confidentiality and handle sensitive information with integrity.
  • Manage the MD’s calendar, schedule meetings, appointments, and travel arrangements.
  • Prepare meeting agendas, take minutes, and ensure follow-up on action points.
  • Handle confidential documents, correspondence, and communication with professionalism and discretion.
  • Coordinate with department heads to ensure timely submission of reports, presentations, and updates for management review.

Job Type: Full-time

Pay: AED7,000.00 - AED8,500.00 per month
