Executive Assistant to the CEO

Dubai, United Arab Emirates

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our CEO in day-to-day operations and strategic initiatives. The ideal candidate will have a strong background in executive support, excellent command of Excel and reporting, and the ability to manage multiple priorities in a fast-paced real estate environment. Prior experience in coordinating with developers, handling executive travel, and managing meetings and calendars is essential.

Key Responsibilities:Executive Support:

  • Act as a trusted point of contact between the CEO and internal/external stakeholders.
  • Manage the CEO’s calendar including scheduling, rescheduling, and prioritizing meetings.
  • Prepare, format, and maintain reports, presentations, and dashboards using MS Excel and other tools.
  • Take ownership of preparing accurate and timely Minutes of Meetings (MoMs) and follow up on action items.

Travel & Logistics:

  • Plan and manage domestic and international travel arrangements for the CEO and Sales staff (flights, hotels, transport, itineraries).
  • Ensure all travel plans align with company policies and budgets.
  • Maintain travel documentation, expense reports, and reimbursement records.

Meeting & Communication Coordination:

  • Schedule and coordinate internal and external meetings, including with developers, investors, and partners.
  • Ensure all meeting materials are prepared and shared in advance.
  • Act as a liaison with real estate developers to schedule meetings and facilitate communication on behalf of the CEO.

Operational & Administrative Tasks:

  • Assist in preparation of business reports, market research, and executive summaries.
  • Maintain confidentiality of highly sensitive information.
  • Support in project management and cross-functional coordination as needed.
  • Assist in managing the CEO’s inbox and communication, prioritizing and drafting responses where appropriate.

Requirements:

  • Experience: 3–5 years of experience as an Executive Assistant, preferably in the real estate or related industry.
  • Skills:
  • Proficient in Microsoft Excel (pivot tables, charts, data analysis).
  • Strong reporting and documentation skills.
  • Excellent written and verbal communication.
  • Calendar management using tools like Google Calendar or Outlook.
  • Experience handling confidential information with discretion.
  • Other:
  • Ability to multitask and manage time efficiently.
  • Strong interpersonal skills and ability to interact with high-level executives and stakeholders.
  • Problem-solving mindset and a proactive approach to work.

Job Type: Full-time

Pay: From AED7,000.00 per month
