Executive Assistant to the CEO – Real Estate

Rawalpindi, Pakistan

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support the CEO of a dynamic real estate firm. This role requires someone who can manage high-level administrative duties, coordinate complex schedules, support real estate operations, and act as a key liaison internally and externally. The ideal candidate has a strong background in real estate or a fast-paced executive environment, thrives under pressure, and maintains a high level of professionalism and confidentiality.

Key Responsibilities:Executive Support

Manage and optimize the CEO’s calendar, meetings, and travel.

Handle confidential information with discretion.

Prepare presentations, reports, and executive summaries for internal and external use.

Draft and respond to emails and communications on behalf of the CEO.

Real Estate Operations

Assist with tracking deals, leases, acquisitions, or developments.

Coordinate with agents, brokers, legal, and finance teams on active transactions.

Maintain property and project documentation (NDAs, contracts, listings, closing documents).

Support research, market analysis, and data gathering as needed.

Meeting & Event Coordination

Organize internal meetings, board meetings, investor calls, and industry events.

Take minutes, follow up on action items, and manage agendas.

Communication & Liaison

Act as a gatekeeper and point of contact between the CEO and internal/external stakeholders.

Maintain relationships with investors, clients, partners, and vendors.

Administrative Tasks

Manage office-related needs, expenses, and special projects as assigned.

Monitor and prioritize the CEO’s email inbox and call log.

Handle personal tasks when requested (light travel, appointments, etc.).

Qualifications:

Bachelor’s degree preferred (Business, Real Estate, or related field).

3–5+ years as an executive assistant (experience in real estate a plus).

Strong knowledge of the real estate industry (residential, commercial, or development).

Excellent communication and writing skills.

Highly proficient in MS Office, Google Workspace, and CRM/project management tools.

Ability to multitask and work independently under tight deadlines.

Discretion, reliability, and a proactive mindset.

Preferred Skills:

Familiarity with real estate terms, contracts, and transaction processes.

Experience supporting C-level executives.

Knowledge of tools like DocuSign, Salesforce, Monday.com, or real estate-specific software (e.g., MLS, LoopNet, CoStar).
