About the Role

This is a part-time (around 20 hours/week) position working directly with the CEO to help manage the details that make growth possible. The role is broad and entrepreneurial — part executive assistant, part project coordinator, part problem solver.

What You’ll Do

  • Manage the CEO’s calendar, inbox, and communications, prioritizing what’s most important and ensuring timely follow-up.
  • Draft, proof, and send professional correspondence with customers, vendors, and internal partners.
  • Coordinate meetings, calls, and travel — internal, customer, and vendor related.
  • Prepare and edit documents, presentations, and communications for customers, partners, and team members.
  • Help organize projects, track deliverables, and follow up to ensure things get done.
  • Keep digital and physical files organized and accessible.
  • Pitch in on general administrative and operations tasks — whatever needs doing to help the company run smoothly.
  • Bring a positive, proactive approach to problem-solving and process improvement.

What We’re Looking For

  • Someone who’s organized, reliable, and able to juggle multiple priorities without dropping the ball.
  • A strong communicator who’s comfortable managing emails, calendars, and follow-ups on behalf of leadership.
  • A self-starter who doesn’t wait to be told what to do — you see what’s needed and make it happen.
  • Comfortable with Microsoft 365, Teams, and general office tools.
  • Prior experience supporting a small business, founder, or executive preferred (manufacturing experience is a plus, but not required).
  • Discretion, professionalism, and trustworthiness are must-haves.

  • Hours: ~20 hours/week, flexible scheduling (remote first and on-site occassionally)
  • Location: Greater Philadelphia, PA
  • Compensation: Commensurate with experience

Job Type: Part-time

Pay: $25.58 - $27.81 per hour

Expected hours: 20 per week
