Overview
We are seeking a highly organized, detail-oriented, and proactive
Executive Assistant
to provide comprehensive support to our CEO and ensure smooth day-to-day operations across the company. This individual will play a critical role in managing travel logistics, office operations, reimbursements, scheduling, and company events, while also assisting with various ad-hoc projects. The ideal candidate thrives in a dynamic environment, acts with a strong sense of urgency, and consistently demonstrates exceptional resourcefulness and professionalism.
Key Responsibilities
Executive Support

Manage and maintain the CEO's complex and dynamic calendar, prioritizing meetings and ensuring optimal time management.

Anticipate needs and proactively resolve scheduling conflicts or logistical issues.

Coordinate communications and act as a liaison between the CEO and internal/external stakeholders.

Support preparation for meetings, presentations, and follow-up actions.
Travel & Expense Management

Plan and coordinate detailed domestic and international travel itineraries, including flights, accommodations, transportation, and meeting logistics.

Manage reimbursement processes and credit card reconciliations with accuracy and timeliness.
Office & Operations Management

Oversee day-to-day office operations to maintain an efficient and positive workplace environment.

Manage vendor relationships, office supplies, and equipment maintenance.

Support onboarding logistics and workspace setup for new employees.
Event Coordination & Special Projects

Plan and execute company-wide events, retreats, offsites, and team celebrations.

Assist with internal initiatives and small ad-hoc projects as assigned by leadership.

Partner cross-functionally to ensure successful execution of key organizational priorities

Qualifications

3+ years of experience as an Executive Assistant, ideally supporting C-level executives.

Proven experience with calendar management, travel logistics, and event planning.

Strong proficiency in Google Workspace (Docs, Sheets, Calendar), Slack, and project management tools.

Bachelor's degree preferred or equivalent professional experience
