Job Summary

The Executive Assistant to the Director – Operations provides high-level administrative, operational, and coordination support to ensure the smooth functioning of day-to-day operations. This role requires strong organizational skills, confidentiality, proactive planning, and effective communication to support strategic and operational objectives.

Key Responsibilities

Administrative & Executive Support

  • Manage the Director’s calendar, meetings, appointments, and travel arrangements, Training sessions arrangements.
  • Prepare agendas, presentations, reports, and meeting minutes
  • Handle confidential documents and sensitive information with discretion
  • Act as the primary point of contact between the Director and internal/external stakeholders

Operational Coordination

  • Coordinate with department heads to track operational activities and follow-ups
  • Monitor key operational deadlines, action items, and performance reports
  • Assist in implementation and tracking of operational initiatives and projects like, ERP implementations, SAP implementations.
  • Support ERP, MIS, and operational data collection, punching accuracy & reporting requirements

Communication & Liaison

  • Draft professional emails, letters, and internal communications
  • Coordinate with vendors, clients, consultants, and regulatory authorities as required
  • Ensure effective communication flow across departments

Reporting & Documentation

  • Prepare daily, weekly, and monthly operational reports
  • Maintain records, SOPs, contracts, and operational documentation
  • Assist in audits, compliance reviews, and management reviews

Job Types: Full-time, Permanent

Pay: ₹30,000.00 - ₹60,000.00 per month
