Executive Assistant to the CEO

Responsibilities

  • Manage the CEO’s complex calendar, scheduling meetings, appointments, and travel arrangements with precision using Microsoft Outlook Calendar and One Drive.
  • Prepare, proofread, and transcribe correspondence, reports, presentations, and meeting notes to ensure clarity and professionalism.
  • Coordinate and organize company events, meetings, and conferences from planning stages through execution, including venue booking, catering, and logistics.
  • Handle all administrative tasks such as data entry, filing, document management via DocuSign, completing and analyzing reports, writing reports and maintaining confidential records with integrity.
  • Oversee office management duties including supply inventory, front desk operations, filing systems, and general clerical support to ensure a productive work environment.
  • Assist with bookkeeping activities using QuickBooks for expense tracking and basic financial recordkeeping along side the CFO.
  • Support project coordination efforts by tracking deadlines, preparing materials, and liaising with internal teams to ensure timely completion of initiatives.
  • organizing travel accommodations for the CEO and field team and booking travel.

Experience

  • Proven experience as an executive assistant or personal assistant supporting C-level executives in a fast-paced environment.
  • Demonstrated proficiency in office management tools such as Microsoft Office Suite (Word, Excel, PowerPoint), One Drive applications, and data entry systems.
  • Strong organizational skills with the ability to prioritize tasks effectively while managing multiple projects simultaneously.
  • Excellent typing speed combined with transcription skills for accurate documentation.
  • Familiarity with bookkeeping software like QuickBooks and basic bookkeeping practices is a plus.
