Executive Assistant to the CEO

North Wind is a specialized aviation and field services company supporting operations across the Pacific Northwest and beyond. Our work requires precision, coordination, and a high level of responsiveness across teams in dynamic environments.

We are seeking a highly organized and proactive Executive Assistant to support the CEO, Director of Maintenance, and Chief Pilot. This role is critical to ensuring seamless day-to-day operations, communication, and execution across leadership.

Role Overview

The Executive Assistant will serve as a trusted partner to leadership, managing schedules, travel logistics, communications, and operational coordination. This role requires strong attention to detail, discretion, and the ability to anticipate needs in a fast-paced, evolving environment.

This is not a passive administrative role, we are looking for someone who can own processes, drive organization, and bring structure to complexity.

Key Responsibilities

Executive Support

  • Manage complex calendars for the CEO, Director of Maintenance, and Chief Pilot
  • Coordinate meetings across multiple time zones and operational schedules
  • Prepare agendas, notes, and follow-ups to ensure alignment and execution
  • Act as a gatekeeper and facilitator for leadership priorities

Travel & Logistics

  • Book and manage travel arrangements (flights, hotels, rental vehicles, etc.)
  • Coordinate detailed travel itineraries, often with changing schedules
  • Support field deployment logistics for leadership and team members
  • Troubleshoot travel disruptions in real time

Operational Coordination

  • Track and follow up on key initiatives, projects, and action items
  • Coordinate across departments (operations, maintenance, pilots, admin)
  • Support internal communication flow to ensure alignment across teams
  • Assist with onboarding coordination and internal scheduling

Administrative & Office Support

  • Manage shipping and receiving (equipment, documents, supplies)
  • Maintain organized digital and physical filing systems
  • Support expense tracking, receipts, and documentation
  • Assist with vendor coordination and basic procurement

Communication & Stakeholder Support

  • Draft and manage internal and external communications on behalf of leadership
  • Serve as a point of contact for key partners and stakeholders
  • Maintain professionalism and confidentiality in all interactions

Project & Process Support

  • Help build and improve internal processes and systems
  • Support special projects and leadership initiatives as needed
  • Identify opportunities to improve efficiency and organization

Qualifications

Required

  • 3+ years of experience supporting executives or leadership teams
  • Strong organizational and time management skills
  • Ability to handle multiple priorities in a fast-paced environment
  • Excellent written and verbal communication skills
  • High level of discretion and professionalism
  • Proficiency with Google Workspace (Docs, Sheets, Calendar, Drive) or similar tools

Preferred

  • Experience in aviation, logistics, or field-based operations
  • Experience supporting multiple executives simultaneously
  • Familiarity with scheduling across dynamic or shift-based environments

Additional Requirements

  • Ability to travel up to 25% of the time
  • Valid driver’s license and reliable transportation
  • Ability to work occasional non-standard hours as needed to support operations

Job Type: Full-time

Pay: $52,187.04 - $62,848.91 per year
