ABOUT THE MATT RHINE GROUP

The Matt Rhine Group is a high-performing boutique residential real estate team operating under Keller Williams Legacy in Lutherville, MD. Led by founder Matt Rhine, MRG serves buyers and sellers across Baltimore County, Harford County, and surrounding markets — delivering a client experience defined by expertise, responsiveness, and results.

THE ROLE

We need a right hand. Not a task-taker — a force multiplier.

The Executive Assistant to the Founder is responsible for setting Matt up for success every single day. You will own his calendar, manage his daily call sheet, keep him on task and on time, and serve as the execution bridge between Matt and the Operations Manager. When Matt needs something done, you make it happen — quickly, correctly, and without drama.

This is a full-time, in-office role. You will be on-site and ready to go at 8:30 AM every morning. If you’re someone who thrives in a structured, fast-paced environment, stays cool under pressure, and takes pride in flawless execution — read on.

WHAT YOU’LL OWN

Daily Operations & Setup
  • Arrive and be fully prepared by 8:30 AM to set Matt up for the day
  • Build and deliver a daily briefing: schedule, call sheet, priorities, and anything he needs to know before his first interaction
  • Manage his calendar end-to-end — scheduling, confirmations, updates, and conflict resolution
  • Prepare and maintain a daily call sheet with contact details, context, and objectives for every call


Keeping Matt on Track
  • Keep him moving — through calls, tasks, meetings, and transitions
  • Proactively flag schedule conflicts, deadline pressure, or anything that needs his attention or decision
  • Follow up on open items and make sure nothing falls through the cracks


Operations Manager Partnership
  • Work closely with the Operations Manager to surface items that need Matt’s approval, signature, or awareness
  • Coordinate on events, client communications, and team planning that require his confirmation
  • Serve as a reliable relay between Matt and the rest of the team — accurate, timely, no dropped balls


Administrative & Ad Hoc Execution
  • Handle requests as they arise — if Matt asks, you execute
  • Manage correspondence, coordinate logistics, and support team-wide initiatives as needed
  • Maintain organized systems for contacts, documents, and recurring tasks

  • Discreet and professional — this role sits close to the business and requires sound judgment


QUALIFICATIONS


  • 2+ years of experience in an executive assistant, operations, or administrative support role
  • Experience in real estate, brokerage, or a client-facing service business is a plus
  • Proficiency with Google Workspace and/or Microsoft Office; comfort with CRM and scheduling tools
  • Strong written communication skills
  • Ability to work in-office full-time, Monday through Friday, starting at 8:30 AM
