Executive Assistant to the President

Job Summary
We are seeking a highly organized and proactive Executive Assistant to support the President in all administrative and operational capacities. This dynamic role requires a detail-oriented professional who can manage complex schedules, coordinate projects, and handle a variety of administrative tasks with efficiency and professionalism. The ideal candidate will be a confident communicator, adept at multitasking, and possess a strong background in office management, calendar oversight, and executive support. Responsibilities

  • Manage the President’s calendar, including scheduling meetings, appointments, and travel arrangements using Microsoft Outlook Calendar and Google Workspace.
  • Act as the primary point of contact for phone calls, emails, and correspondence, demonstrating excellent phone etiquette and professional communication skills.
  • Coordinate and assist with event planning for internal meetings, conferences, and special functions to ensure seamless execution.
  • Handle administrative duties such as data entry, filing, proofreading documents, transcription, and maintaining organized records.
  • Support project coordination efforts by tracking deadlines, preparing reports, and liaising with internal teams to ensure timely completion of tasks.
  • Oversee office management responsibilities including supply procurement via QuickBooks or other accounting tools, front desk duties, and general clerical support.
  • Assist with bookkeeping activities such as invoice processing, expense tracking, and reconciling accounts as needed.
  • Utilize office technology tools like Microsoft Office Suite (Word, Excel), DocuSign for document signing, and multi-line phone systems to facilitate daily operations.

Requirements

  • Proven experience providing executive administrative support or as a personal assistant in a professional setting.
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Excellent typing speed combined with proficiency in data entry, transcription, proofreading, and document management.
  • Demonstrated office management experience including filing systems, front desk operations, and customer service skills.
  • Proficiency in Microsoft Office (Word, Excel), Google Workspace applications (Gmail, Calendar), QuickBooks or similar bookkeeping software, and familiarity with multi-line phone systems.
  • Exceptional communication skills with professional phone etiquette and interpersonal abilities.
  • Ability to handle sensitive information discreetly while maintaining high levels of confidentiality.
