Summary: This position reports directly to the President and will perform a wide array of administrative support duties as required by the daily operations of an executive team in a manufacturing setting. This position regularly supports cross-divisional, domestic and international colleagues and executive leadership on strategic business initiatives and internal operations. This is a fast-paced position that requires attention to detail, strong communication skills, and a high degree of organization, initiative, professionalism and discretion. Notary commission preferred, but not required.
Essential Duties and Responsibilities:
- Maintain the President’s calendar
- Field phone calls and requests from internal and external stakeholders
- Monitor President’s email correspondence with an eye towards record keeping
- Aggregate detailed air travel information
- Interface with the Board of Directors to coordinate meetings; work with Legal and Finance to gather elements for Board meeting packets in advance of meetings
- Maintain corporate security logs
- Maintain Company registration on federal platforms, including SAM, ITAR, PIEE/SPRS, JCP and DHS record maintenance
- Work with Legal and manage the preparation of, and renewal deadlines for, consulting agreements.
- In conjunction with the Vice President of Manufacturing, coordinate semi-annual training for new employees, and annual ITAR refresher training for all employees
- Track membership renewals and donation / sponsorship requests.
- Research and coordinate vendors for annual corporate picnic
- Review credit card charges and provide receipts for payment
- Support non-corporate requests from the President
- Additional duties as required
Education and Experience:
- US Citizen or Green Card Holder
- Bachelor’s degree, with work experience in an equivalent role in a manufacturing environment, preferred
- Trustworthiness with highly confidential matters, sound judgment and high degree of discretion
- Excellent organizational skills; attention to detail
- Demonstrated ability to work independently and unsupervised, to prioritize multiple and simultaneous projects and activities, and to make decisions in an ambiguous and complex environment
- Strong verbal and written communication skills, including the ability to articulate business situations clearly and accurately, and to address and resolve issues by communicating difficult information tactfully and diplomatically
- Ability to work with all levels and departments in the Company, including Executive Management and Board members, with diverse interpersonal styles and priorities
- Sensitivity to cultural differences
- Advanced proficiency with Microsoft Office and Outlook, and strong computer skills
- Experience in Manufacturing a plus.
- Must be a U.S. Person (Citizen or Green Card Holder) as defined by ITAR regulations. This position is ITAR controlled and involves access to technical data subject to export restrictions.
