Overview
We are seeking a dynamic and highly organized Executive Assistant/Office Manager to join our team. This vital role combines executive administrative support with comprehensive office management, ensuring smooth daily operations and seamless coordination across departments. The ideal candidate will thrive in a medium-paced environment, demonstrating exceptional organizational skills, proactive problem-solving, and a positive attitude. This position has the option of working remotely at least 2 to 3 days of the week, with 1 or 2 days working in the community. This is a 1099 position, with no additional benefits. Candidate will have a work laptop and company cell phone.
Duties
- Provide comprehensive administrative support to executives, including managing calendars, scheduling meetings, and coordinating appointments using tools such as Microsoft Outlook Calendar and Google Workspace.
- Oversee daily office operations, including front desk management, filing systems, supply procurement, and maintaining a welcoming environment for visitors and staff.
- Coordinate special projects and events, handling logistics such as venue booking, vendor communication, and event planning to ensure successful execution.
- Manage bookkeeping and financial tasks using QuickBooks, including invoicing, expense tracking, and basic bookkeeping duties.
- Handle correspondence via phone, email, and other communication channels with professionalism and excellent phone etiquette.
- Perform data entry, transcription, proofreading, and document management tasks using Microsoft Office Suite and other relevant software to ensure accuracy and clarity.
- Support personal assistant responsibilities for executives as needed, including travel arrangements, personal scheduling, and confidential task management.
Skills
- Bachelor degree in Social Work, Psychology or the Arts.
- Proven experience in office management or administrative support roles with strong organizational skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs, Sheets), and familiarity with office technology such as multi-line phone systems.
- Experience with QuickBooks for bookkeeping and financial recordkeeping.
- Excellent calendar management skills using Microsoft Outlook Calendar or similar tools.
- Strong event planning capabilities for coordinating meetings, company events, or off-site activities.
- Exceptional communication skills with professional phone etiquette and customer service orientation.
- Ability to perform clerical tasks such as filing, data entry, proofreading, transcription, and document signing via DocuSign or similar platforms.
- Experience managing front desk operations and handling multi-tasking in a busy office environment.
