Duties

- Organize and coordinate company events, meetings, and internal communication initiatives to foster team engagement and company culture.
- Handle correspondence via email, phone, and video conferencing software with professionalism and confidentiality.
- Manage bookkeeping tasks using QuickBooks, including invoicing, expense tracking, and basic financial record keeping.
- Assist with project coordination by tracking deadlines, preparing reports, and collaborating with various teams to ensure project milestones are met.
- Maintain accurate data entry records, file documents systematically, and perform clerical duties such as proofreading, transcription, and document formatting.
- Facilitate communication between departments and external partners to enhance workflow efficiency.
- Support the onboarding of new employees by organizing orientation materials and managing internal communication channels.
Experience
- Proven experience as an executive assistant or office manager in a fast-paced professional environment.
- Demonstrated proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and productivity software for effective task management.
- Experience with calendar management tools such as Microsoft Outlook Calendar or similar scheduling platforms.
- Strong organizational skills with the ability to prioritize tasks effectively and handle multiple projects simultaneously.
- Familiarity with bookkeeping software like QuickBooks for financial record keeping and basic accounting functions.
- Excellent written and verbal communication skills with attention to detail in proofreading and transcription tasks.
- Ability to handle confidential information discreetly while maintaining professionalism at all times.
- Experience coordinating events or meetings, including logistics planning and vendor communication.
- Technical proficiency in video conferencing software (e.g., Zoom, Microsoft Teams) for remote meetings.
