POSITION SUMMARY
We are seeking a sharp, organized, and effective Executive Coordinator to serve as the operational backbone of our office and the central point of contact across all of our service lines. This is not a typical office role. The right candidate is polished, fast on their feet, and able to juggle competing priorities and represent our organization with professionalism every day.
KEY RESPONSIBILITIES
Phones, Communication & Intake
Serve as primary phone responder and central point of contact for the office. Take intake calls, orders, and inquiries across all service lines. Manage office email inbox and route communications appropriately. Communicate with field staff and clinical team on day-to-day operational matters.
Patient Intake & Admissions Support
Support patient intake from referral through admission. Verify insurance eligibility and coordinate required documentation. Build and maintain patient charts in the EMR. Coordinate placements and external facility communications as needed.
Clinical & Operational Coordination
Order services, equipment, and supplies as directed by clinical leadership. Process operational paperwork and route to appropriate departments. Support patient scheduling across the clinical team.
Supplies & Inventory
Track and maintain office and medical supply inventory. Keep supply areas organized and well-stocked.
Office Operations
Maintain a clean, organized, professional office environment. Manage office equipment, mailings, and recognition initiatives. Provide general administrative support to leadership and staff.
Systems & Software
Proficiency required across EMR and scheduling platforms. Comfortable with standard office technology and willing to learn new systems.
HIPAA & Compliance
Maintain strict HIPAA compliance and patient confidentiality at all times. Properly handle medical records, PHI, and regulatory documentation.
WHAT WE'RE LOOKING FOR
2+ years in a healthcare office, hospice, home health, or DME setting strongly preferred. Sharp, organized, professional — you anticipate needs, follow through, and represent the brand well. Excellent written and verbal communication. Proficient with Microsoft 365, Google Workspace, and EMR systems. Discreet, trustworthy, and HIPAA-aware. Able to manage competing priorities across multiple service lines without dropping the ball. Professional appearance and presence.
