    Executive Legal Assistant to the General Counsel
    Position Summary:
    Executive Legal Assistant to the General Counsel supports the General Counsel and Legal Services Department by providing comprehensive legal administrative assistance and overseeing key aspects of contract management, office operations, and legal document coordination. This position ensures the efficient and compliant operation of the Legal Office, supports the review and tracking of contracts and agreements districtwide, and assists in the preparation of hearings, exhibits, and official correspondence. The Legal Assistant also serves as a point of contact to assist school sites and administrators on various issues, ensuring timely, accurate, and customer-focused responses.

    Essential Duties:

    Great Teaching & Learning (Instructional Infrastructure):
    • Support Legal Services, under the supervision of the General Counsel, in reviewing contracts, memoranda, and interagency agreements to ensure compliance with district policy and state and federal law.
    • Assist attorneys with preparation of exhibits, evidence, and documentation for administrative hearings and proceedings.
    • Maintain electronic and physical files for policies, regulations, and legal reference materials to support instructional and operational compliance.

    Great People (Talent Management):
    • Provide responsive and professional assistance to district leaders, schools, and staff on routine legal and policy questions, including parental rights and student record access in accordance with district policy and FERPA..
    • Support a culture of professionalism and integrity within Legal Services by maintaining strict confidentiality and modeling ethical standards.
    • Assist in coordinating department training sessions, scheduling legal meetings, and ensuring consistent communication with district teams.

    • Provide efficient, accurate, and equitable support to office and district staff so educators can focus on teaching and learning.
    • Ensure transparency and accountability by maintaining properly organized and accessible legal and contractual records.

    Great Systems (Support & Accountability):
    • Manage daily office operations for Legal Services, including scheduling meetings, maintaining departmental calendars, coordinating travel, and organizing correspondence and files to ensure efficient workflow.
    • Manage the district’s contract management system, including intake, tracking, and routing of agreements for review and approval.
    • Conduct preliminary reviews of low-risk contracts for completeness, consistency with district templates, and compliance with policy.
    • Assist the General Counsel in preparing and monitoring the department budget, processing purchase orders, and submitting expense reports.
    • Support the coordination of hearings, including scheduling witnesses, hearing officers, and preparing case materials.
    • Provide general administrative support for Legal Services, including calendar management, correspondence, mail, and phone triage.
    • Perform other duties as assigned.

    • Scheduling & Coordination: Calendars, meetings, and deadlines for the General Counsel and Legal Services Department are consistently organized and executed on time, with minimal conflicts or delays.
    • Accuracy & Quality: Correspondence, reports, exhibits, and legal documents prepared or reviewed are accurate, complete, and consistent with district standards, templates, and style guidelines.
    • Contract Review & Management: Routine and low-risk contracts, memoranda, and agreements are reviewed under the supervision of the General Counsel for completeness and compliance with district policy. Contract management workflows are efficiently tracked, processed, and documented within the district’s contract management system to ensure timely review and execution.
    • Timeliness & Responsiveness: Requests from schools and departments are addressed promptly and courteously, contributing to efficient and responsive district operations.
    • Organization & File Management: Legal, policy, and contract records are accurately maintained, organized, and retrievable in accordance with Board policy and records retention requirements.
    • Confidentiality & Professionalism: Sensitive information is handled with discretion, and all interactions with internal and external stakeholders reflect professionalism, integrity, and adherence to legal confidentiality standards.
    • Communication & Customer Service: The Legal Services Department receives positive feedback from district staff and partners regarding the clarity, accuracy, and responsiveness of communications.
    • Operational Efficiency: Office operations, including scheduling, budget tracking, travel coordination, purchase order processing, and correspondence, are completed accurately and within established timelines to support the department’s mission.



    Minimum Qualifications (Knowledge, Skills and/or Abilities Required):
    • Associate’s degree in Paralegal Studies, Public Administration, or related field.
    • Minimum of three (3) to five (5) years of progressively responsible administrative, legal, or contract-related experience, or equivalent combination of education and directly related professional experience.
    • Demonstrated proficiency with Microsoft Office and Google Workspace.
    • Excellent written and verbal communication skills.
    • Ability to maintain confidentiality, exercise sound judgment, and manage multiple priorities with accuracy and professionalism.

    Preferred Qualifications (Knowledge, Skills and/or Abilities Required):
    • Paralegal certificate from an ABA-approved program, or bachelor’s degree in Legal Studies or related field.
    • Experience supporting legal counsel in a government agency, school district, or public sector environment.
    • At least one (1) year of direct experience in contract review, contract management, or procurement workflow.
    • Familiarity with electronic contract management systems or other legal workflow software.

    Physical/Mental Requirements:
    • Must be able to work in a fast-paced, high-energy environment
    • Occasional lifting (up to 25 pounds), bending, and extended periods of standing or sitting
    • Work outside of normal business hours, including evenings and weekends, is required
    • Must be able to travel within the district using a personal vehicle
    • Must have adequate visual acuity to read, interpret and transcribe written material and other required duties.
    • Requires normal range of hearing and clear speaking abilities to interact appropriately with others in person and on the telephone, in person, and technology platforms
    • Requires some stooping, bending, stretching and occasional lifting not to exceed 25 pounds.
    • May periodically require work outside of normal business hours, including weekends, under sometimes. stressful conditions in order to meet business needs and strict deadlines.

    Work Environment:
    • Primarily office-based with frequent visits to school sites, event venues, and athletic facilities
    • May be exposed to loud environments (e.g., gymnasiums, band events, cheer competitions)

    FTE: 8 hours per day
