Position Description

WingXpand is seeking a trusted and detail-oriented Executive & Marketing Operations Assistant to support senior leadership and keep daily operations running smoothly. This role manages executive communications, supports office operations, and assists with marketing coordination and content posting. The ideal candidate is highly organized, exercises strong discretion, and is comfortable handling a wide range of administrative and operational tasks in a fast-moving startup environment.

Key Responsibilities:Executive & Administrative Support

• Actively manage executive email inboxes, calendars, scheduling, and follow-ups.
• Handle sensitive and confidential information with discretion and professionalism.
• Prepare correspondence, documents, and internal materials as needed.
• Track action items and help ensure priorities move forward.

Office Operations & General Support

• Handle general office tasks and odd jobs to support daily operations.
• Coordinate office logistics, supplies, vendors, and basic facilities needs.
• Support travel planning, meeting logistics, and on-site coordination.
• Serve as a reliable point of contact for internal and external communications.

Business, Presentation & Marketing Support

• Create, edit, and maintain PowerPoint presentations for leadership and external use.
• Assist with Excel spreadsheets and business development tasks, like generating customer quotes
• Support social media posting and basic content coordination.
• Assist with marketing, communications, and brand-support tasks as needed.

Qualifications:

• Experience in an Executive Assistant, Administrative, Operations, marketing, communications, or similar role.
• Strong organizational skills with the ability to manage multiple priorities independently.
• High level of discretion and professionalism when handling sensitive information.
• Proficiency with Microsoft Outlook, Excel, and PowerPoint.
• Clear written and verbal communication skills.
• Comfortable working in a dynamic, fast-paced environment.

Additional qualifications:

• Experience supporting executives in a startup, technology, or defense-related environment.
• Familiarity with social media platforms and creating basic marketing materials.
• Strong attention to detail and follow-through.
• Willingness to take initiative and handle a wide variety of tasks.
