Executive Operations Coordinator

Position Summary

The Executive Operations Coordinator plays a critical role in both administrative leadership support and real-time operations. This position combines executive assistant duties with EMS scheduling and dispatch responsibilities, ensuring efficient communication, staffing, and service delivery.

This is a fast-paced role ideal for someone who thrives in healthcare, logistics, or EMS environments.

Key Responsibilities:

Executive Support

  • Manage calendars, meetings, and daily priorities for leadership
  • Prepare reports, emails, and internal communications
  • Maintain confidential records and assist with company initiatives
  • Support leadership with operational planning and coordination

Dispatch & Scheduling

  • Create and manage daily crew schedules
  • Dispatch units and monitor real-time operations
  • Coordinate transport requests with facilities and field staff
  • Handle call-offs, schedule changes, and coverage needs
  • Ensure timely and efficient transport coordination

Operations Support

  • Track staffing levels and unit availability
  • Assist with onboarding scheduling and employee coordination
  • Maintain compliance with company policies and healthcare standards
  • Communicate effectively with field teams and supervisors

Qualifications

  • 2+ years of experience in administrative support, dispatch, scheduling, or healthcare operations
  • EMS, transportation, or healthcare experience strongly preferred
  • Strong multitasking, organization, and problem-solving skills
  • Excellent communication and customer service skills
  • Proficient in Microsoft Office (Excel, Outlook, Word)
  • Ability to work in a fast-paced, high-pressure environment

Preferred Qualifications

  • Experience with dispatch systems (e.g., Traumasoft, ESO, AngelTrack)
  • Knowledge of HIPAA and healthcare compliance
  • Prior experience in EMS or medical transportation
  • Bilingual
