Executive & Personal Assistant to Founder – (Part-Time)

We are seeking a highly organized and detail-oriented assistant to support the company founder in both business and personal coordination tasks. This role helps keep operations running smoothly by managing scheduling, communication, research, and logistics.

Responsibilities include:

  • Calendar and meeting coordination
  • Email organization and response drafting (minimal)
  • Researching conferences, travel, and industry events
  • Tracking subscriptions and vendors
  • Coordinating appointments and scheduling
  • Organizing documents and reminders
  • Assisting with project and client follow-ups
  • Light personal assistance (appointments, pet care coordination, errands scheduling)

Ideal candidate:

  • Extremely organized and proactive
  • Comfortable managing multiple priorities
  • Strong written communication
  • Tech comfortable (Google Workspace, Microsoft 365, scheduling apps)
  • Discreet and trustworthy
  • Able to anticipate needs and solve problems independently

Part-time with flexible hours. Remote with occasional local coordination in San Diego And Imperial Beach

  • Proven experience in executive administrative support or personal assistant roles with strong organizational skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and office management software like DocuSign.
  • Excellent typing speed combined with transcription and proofreading abilities to produce accurate documents swiftly.
  • Knowledge of bookkeeping practices including invoicing and financial record keeping using QuickBooks.
  • Strong project coordination skills to manage multiple tasks efficiently under tight deadlines.
  • Exceptional communication skills with professional phone etiquette.
  • Ability to handle clerical duties such as , data entry, and customer service interactions effectively.
