Executive & Personal Assistant

Hours:
Approximately 25 - 30 hours per week
Key Responsibilities:
Administrative Support:

Manage and update the Executive's calendar using Microsoft Outlook, including appointment reminders and schedule coordination.

Provide basic technical support for iPhone and Apple devices (installing apps, organizing photos, iCloud syncing, dictation assistance, updating software).

Monitor incoming communication to identify scams, phishing attempts, and fraudulent outreach.

Assist with company-related tasks such as:

Answering the corporate phone line when scheduled.

Conducting research for internal projects.
-
Completing ad hoc assignments within the Microsoft 365 environment (Word, Excel, Teams, Outlook).
Personal Support:

Drive the
Executive
to local appointments, errands, and meetings.

Appointment scheduling
-
Basic technology assistance
-
General household or errand‑related needs.

Organize physical files, documents, and personal records.
Professional Conduct:

Maintain strict confidentiality regarding personal and company information.

Executive
and internal team members.

Qualifications
-
High school diploma required; bachelor’s degree preferred.

Valid driver’s license and clean driving record.
-
Minimum of three years of experience as an administrative, executive, or personal assistant.

Strong proficiency in Microsoft 365 (Outlook, Word, Excel).

Comfortable using Apple devices (iPhone, iPad, Apple TV).

Ability to identify and flag spam, scams, and suspicious digital communication.

Excellent organizational skills and time‑management abilities.

Strong verbal communication and interpersonal skills.

High attention to detail and follow‑through.

Ability to maintain confidentiality and exercise good judgment.
