Executive Personal Assistant

Job Summary
The Executive Personal Assistant (EPA) involves providing high-level administrative and strategic support to senior executives/owner, managing complex calendars, coordinating meetings and travel, handling confidential information, managing communications (emails, calls, reports, presentations), requiring exceptional organizational, communication, discretion, and problem-solving skills. EPAs act as strategic partners, ensuring executive productivity by managing logistics and information flow with professionalism and autonomy.

Responsibilities

  • Manage and maintain executive calendars using Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements with precision.
  • Prepare, proofread, and transcribe documents, reports, emails, and presentations ensuring clarity and accuracy.
  • Coordinate various projects by tracking deadlines, organizing resources, and liaising with internal teams to ensure timely completion.
  • Handle all aspects of office management including filing, data entry, bookkeeping using QuickBooks, and overseeing clerical tasks such as faxing, photocopying, and scanning.
  • Facilitate effective communication through phone etiquette on multi-line phone systems, managing incoming calls professionally and courteously.
  • Organize events such as meetings or company functions by coordinating logistics, catering, venue arrangements, and attendee lists.
  • Support personal errands for executives when appropriate while maintaining strict confidentiality and discretion.
  • Liaison: Serve as a point of contact for the Owner.

Qualifications

  • Proven experience as an executive administrative assistant or personal assistant with a strong background in office management.
  • Excellent organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace tools, and data entry systems.
  • Strong typing skills along with transcription and proofreading capabilities to produce error-free documents.
  • Experience with bookkeeping software such as QuickBooks and familiarity with office equipment including multi-line phone systems.
  • Exceptional communication skills with professional phone etiquette and customer service orientation.

Essential Skills & Qualifications

  • Experience: Previous experience as an EA or similar high-level administrative role.

  • Proactive Problem-Solving: Anticipating needs before they are articulated and independently resolving logistical or operational issues.

Other Responsibilities:

  • Assisting with the scheduling of the 42nd Street Event Center and monitoring e-mails

Job Type: Part-time

Pay: $25.00 - $30.00 per hour
