Executive Personal Assistant

Job Summary
We are seeking a highly organized and proactive Executive Personal Assistant to provide exceptional administrative support to the owner (20-40 hours per week). This dynamic role requires a motivated individual who excels in managing complex schedules, coordinating projects, and handling a variety of clerical and personal tasks with precision and professionalism. The ideal candidate will thrive in demonstrating excellent communication skills, meticulous attention to detail, and the ability to anticipate needs proactively.

Duties

  • Manage and coordinate schedules and calendars using Google Workspace, scheduling meetings, appointments, and travel arrangements..
  • Provide comprehensive executive administrative support, including drafting correspondence, proofreading documents, transcribing notes, and preparing reports.
  • Organize and plan events such as meetings, conferences, and activities, ensuring all logistics are handled seamlessly.
  • Handle phone etiquette professionally screening calls, taking messages, and directing inquiries appropriately.
  • Oversee office management tasks including filing, data entry, bookkeeping using QuickBooks, and maintaining office supplies inventory. Also performing payroll through the Gusto payroll system.
  • Assist with project coordination by tracking deadlines, preparing presentations, and supporting cross-departmental initiatives.
  • Perform clerical duties such as photocopying, faxing, mailing, and managing front desk responsibilities to ensure a welcoming environment for visitors.
  • Conduct transcription of meetings or interviews and perform proofreading to ensure accuracy in all communications.
  • Utilize office software like Microsoft Office Suite, Adobe (Power Point, Acrobat, Word, Excel) to produce high-quality documents and reports efficiently.
  • Support personal tasks for owner as needed while maintaining strict confidentiality and discretion at all times.

Qualifications

  • Proven experience as an executive personal assistant or in a similar administrative role with strong office management skills.
  • Exceptional organizational skills with the ability to multitask effectively.
  • Proficiency in Microsoft Office Suite (Power Point, Acrobat, Word, Excel), Google Workspace applications (Docs, Sheets), and data entry tools.
  • Experience with QuickBooks for bookkeeping purposes is preferred.
  • Daily progress reports to owner.
  • Excellent typing speed along with transcription and proofreading abilities to ensure accuracy in documentation.
  • Strong communication skills with professional phone etiquette.
  • Demonstrated ability to handle confidential information discreetly with high integrity.
  • Familiarity with project coordination tools and event planning experience is advantageous.
