Executive Personal Assistant

<Job Overview>
We are seeking a dynamic and highly organized Executive Personal Assistant to provide comprehensive support to senior executives and ensure the smooth operation of their daily activities. This role is vital in managing schedules, coordinating projects, handling correspondence, and facilitating efficient office workflows. <Responsibilities>

  • Manage complex calendars and schedule appointments using Microsoft Outlook Calendar and Google Workspace, ensuring optimal time management for executives
  • Coordinate travel arrangements, including booking flights, accommodations, transportation, and preparing detailed itineraries
  • Handle correspondence via email, phone calls, and written communication with professionalism and courtesy while maintaining confidentiality
  • Assist with event planning for meetings, conferences, and company functions from logistics to execution
  • Support project coordination efforts by tracking deadlines, preparing reports, and ensuring timely completion of tasks
  • Perform office management duties such as filing, data entry, document proofreading, transcription, and maintaining organized records
  • Utilize QuickBooks for bookkeeping tasks including invoicing and estimates
  • Provide executive administrative support through phone etiquette, front desk management, and phone
  • Manage personal errands or tasks as needed to support the executive’s work-life balance

<Requirements>

  • Proven experience as an executive personal assistant or in a similar administrative role with a strong background in office management
  • Demonstrated proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and data entry skills
  • Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
  • Strong typing skills coupled with transcription and proofreading experience for accurate document preparation
  • Familiarity with QuickBooks Online software and DocuSign electronic signature platform is preferred
  • Exceptional communication skills with professional phone etiquette and customer service orientation
  • Ability to handle sensitive information discreetly while maintaining confidentiality at all times
  • Experience managing calendar management tools such as Microsoft Outlook Calendar is essential
  • Bachelor's degree or higher; additional administrative certification or coursework is a plus

Pay: $24.75 - $29.81 per hour
