Executive Personal Assistant

EXECUTIVE PERSONAL ASSISTANT



The Executive Assistant to the Founder/CEO plays a critical dual role — providing executive-level administrative support to Natural Life’s Founder while overseeing the seamless day-to-day operations of her private residence. This position requires exceptional discretion, organizational acumen, and the ability to anticipate needs before they arise. The ideal candidate thrives in a fast-paced, dynamic environment, moves fluidly between professional and personal responsibilities, and takes genuine ownership of outcomes. This role is the right hand to the Founder — ensuring she can focus on leading and growing Natural Life.


Duties and Responsibilities:

Executive & Administrative Support
  • Manage calendar, correspondence, and scheduling priorities across both personal and professional domains
  • Coordinate with the Natural Life team on travel logistics, event planning, and company-related scheduling
  • Track and manage personal bills, insurance renewals, subscriptions, and household financial obligations, ensuring timely payment
  • Maintain organized records including household documents, warranties, contacts, and key vendor information
  • Handle personal shopping, errands, prescription pickups, returns, and online order management
  • Research and present options to support decision-making on household projects, service providers, and personal matters
  • Provide project management support for household and personal initiatives, including scoping work, managing timelines, and following up on deliverables
Household Operations Management
  • Oversee day-to-day operations of the private residence, ensuring the property is organized, maintained, and running efficiently
  • Source, schedule, and supervise vendors including housekeeping, landscaping, repairs, and other service providers; obtain estimates and confirm work completion
  • Manage household supplies, deliveries, and preventative maintenance schedules
  • Learn and operate all household technology systems; develop SOPs and troubleshoot issues as they arise
Personal Errand & Household Support
  • Provide personal errand support and assistance with household pets, including daily care, scheduling of veterinary and grooming appointments, and coordination of pet sitter coverage during travel
  • Assist with coordination of personal family logistics and appointments, as needed

Knowledge, Skills & Abilities:

  • Exercises non-negotiable discretion around personal, financial, and family matters — handles all sensitive information with the utmost confidentiality and professionalism
  • Manages multiple concurrent responsibilities across personal and professional domains; anticipates needs and acts proactively without waiting to be directed
  • Clear, professional communicator in both written and verbal form; able to represent the Founder’s interests with external vendors, service providers, and family members
  • Tracks open items, manages timelines, and follows through on commitments; comfortable building and maintaining simple systems to organize information
  • Comfortable shifting priorities and wearing multiple hats across a wide range of tasks; resourceful and solutions-oriented when unexpected situations arise
  • Able to build trusted, long-term working relationships in a close-proximity, high-trust role
  • Proficient with Microsoft Office and general productivity tools; able to learn new household technology systems and develop documentation as needed
  • Genuinely comfortable with and attentive to the care of household pets
Experience and Qualifications:
Required:
  • 3+ years of experience in a household management, executive assistant, personal assistant, chief of staff, or comparable role
  • Demonstrated ability to manage personal schedules, household vendors, and financial tracking simultaneously
  • Valid driver’s license and reliable transportation
  • Availability for occasional overnights and extended coverage
Preferred:
  • Experience supporting a C-suite executive or high-profile principal in a private household or hybrid context
  • Familiarity with project management tools and household management best practices
  • Experience coordinating family care and personal logistics
Supervisory Responsibilities:
No formal direct reports. Responsible for sourcing, vetting, and managing independent contractors and household vendors on an ongoing basis.
Working Conditions:
Split between a private residence in the Ponte Vedra Beach area and the Natural Life corporate office in Jacksonville Beach, FL. Flexibility required for occasional evenings, overnights, and extended travel coverage. Work involves both sedentary office-type tasks and active physical duties including walking, errand running, and pet care.
