Executive Sales Assistant

Position Overview

Mobile Force Refueling is seeking an Executive Sales Assistant to support a high-producing sales representative and help keep sales activity, customer follow-up, internal communication, and daily execution organized. This role is for someone who can stay ahead of details, protect the sales representative’s time, communicate clearly with customers and internal teams, and make sure open items are tracked through completion.

What You Will Help With

· Manage daily administrative support for a high-producing sales representative, including follow-up, scheduling, task tracking, and internal coordination.

· Prepare and organize customer information, notes, quotes, proposals, service details, and sales-related documentation.

· Track open opportunities, customer requests, pending quotes, follow-up dates, and next steps so nothing falls through the cracks.

· Communicate professionally with customers, prospects, vendors, managers, and internal departments by phone, email, and in person.

· Work inside company and proprietary systems to enter, update, verify, and maintain customer, sales, and operational information.

· Assist with customer onboarding items such as gathering information, coordinating internal handoffs, organizing required documents, and helping move accounts from interest to active service.

· Coordinate with operations, dispatch, billing, and management to help answer customer questions and move sales-related issues toward resolution.

· Prepare simple reports, summaries, lists, reminders, and status updates for the sales representative and leadership team.

· Help organize the sales representative’s calendar, priorities, customer meetings, follow-up commitments, and daily workload.

· Support office and operational needs as assigned, especially where sales, customer service, and internal execution overlap.

What We Are Looking For

· At least 3 years of experience in customer service, service-related operations, sales support, executive assistance, office administration, or a similar role.

· Strong computer skills, including Microsoft Office 365 and Microsoft Suite products.

· Clear written and verbal communication skills with a professional customer-facing manner.

· Strong organization, follow-up, and attention to detail.

· Ability to manage multiple priorities at the same time with limited management oversight.

· Comfort working in internal systems, tracking details, and learning company-specific processes.

· Ability to handle confidential business and customer information with discretion.

Work Schedule and Location

· Full-time position.

· Monday through Friday schedule.

· In-person role located in Phoenix, Arizona.

· Reliable commute or plan to relocate to Phoenix, AZ 85043 before starting work is required.

Compensation and Benefits

· Salary range: $75,000-$85,000, depending on experience.
