Alomar Holding Company, a leading Saudi Arabia–based investment group specializing in real estate development and property/asset management, is seeking a dedicated Executive Secretary to support its senior management team in Riyadh. This role is pivotal in ensuring seamless executive operations and maintaining high standards of professionalism and confidentiality within a dynamic, growth-oriented environment.
Key responsibilities include:

Providing comprehensive administrative and secretarial support to senior management, including calendar management, scheduling, and daily agenda coordination

Preparing official letters, emails, reports, presentations, and internal memos in both Arabic and English

Organizing and maintaining company documents, contracts, files, and records with strict confidentiality

Coordinating with internal departments, clients, consultants, contractors, and external parties to facilitate smooth communication and task completion

Arranging meetings, taking minutes, and tracking action points to ensure timely follow-up

Supporting real estate operations documentation, including project files, contracts, and administrative follow-ups

Managing document control procedures, version tracking, filing, approvals, and archiving
-
Representing the executive office professionally in all communications and interactions
-
Performing additional administrative tasks as assigned by management
Requirements
Required Qualifications:

Bachelor’s degree or diploma in Business Administration, Office Management, Secretarial Studies, or a related field

Minimum 3 years of experience as an Executive Secretary, Executive Assistant, Administrative Assistant, or similar role supporting senior executives

Work experience in real estate, contracting, development, or property management environments

Strong proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook)

Excellent Arabic and good English communication skills for professional business correspondence

Proven ability to manage executive calendars, meetings, appointments, take meeting minutes, and follow up on action items

Experience handling official documents and contracts, including drafting, formatting, filing, and tracking approvals

Preferred Qualifications:

Experience using Odoo ERP

Experience using task management tools to track and follow up on action items

Experience working with approval workflows for contracts, purchase requests, payments, official letters, or management decisions

Familiarity with task follow-up methods such as action logs, minutes-of-meeting trackers, and department follow-up sheets

Experience working in structured corporate environments with policies, authority matrices, and internal procedures

Experience communicating with real estate clients, property owners, consultants, contractors, government-related service providers, or property management companies

Ability to prepare formal Arabic correspondence addressed to external parties

Certification or training in office administration, executive secretarial work, business communication, or document control
