Job Title: Executive Secretary to the Chairman

Job Summary
We are seeking a highly professional, proactive, and confident Executive Secretary to the Chairman to provide comprehensive executive and administrative support to the Chairman of a diversified Group of Companies. The ideal candidate will have previous experience supporting senior executives or local business owners in Qatar or the GCC and possess exceptional communication, organizational, and coordination skills.
The Executive Secretary will act as the primary point of contact between the Chairman and internal/external stakeholders, ensuring smooth communication and efficient follow-up across all group companies. In the Chairman's absence, the successful candidate will coordinate with department heads and managers to ensure timely execution of priorities and maintain effective communication.
Key Responsibilities
- Provide high-level administrative and executive support to the Chairman.
- Manage the Chairman's calendar, appointments, meetings, travel arrangements, and correspondence.
- Prepare meeting agendas, presentations, reports, minutes of meetings, and official correspondence.
- Coordinate with General Managers, Department Heads, and other stakeholders to follow up on action items and ensure timely completion.
- Serve as a communication link between the Chairman and all business units, particularly during the Chairman's absence.
- Draft professional letters, emails, reports, and presentations in both English and Arabic.
- Handle confidential information with the highest level of professionalism and discretion.
- Organize board meetings, management meetings, and executive events.
- Maintain an efficient document management and filing system.
- Monitor deadlines, prepare progress reports, and provide regular updates to the Chairman.
- Perform any other duties assigned by the Chairman.
Requirements
- Bachelor's degree in Business Administration, Management, or a related field.
- Minimum 5 years of experience as an Executive Secretary, Executive Assistant, or Personal Assistant supporting C-level executives, Chairmen, CEOs, or local business owners.
- Previous experience working with Qatari/GCC local business owners or within a Group of Companies is highly preferred.
- Excellent command of Arabic and English (both written and spoken) is mandatory.
- Strong interpersonal and communication skills with the confidence to coordinate with senior management.
- Strong personality with the ability to work independently, make decisions within delegated authority, and manage multiple priorities.
- Excellent organizational, time management, and problem-solving skills.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience preparing executive reports, presentations, and meeting minutes.
- High level of integrity, professionalism, confidentiality, and attention to detail.
- Ability to work under pressure and meet tight deadlines.
Preferred Qualifications
- Experience supporting a Chairman or CEO in a multi-company group.
- Familiarity with GCC business culture and corporate governance.
- Experience coordinating with government authorities and external stakeholders is an advantage.

Pay: QAR5,000.00 - QAR7,000.00 per month
