We are seeking a highly organized, tech-savvy Executive Secretary & Assistant to support the CEO in managing daily operations, schedules, communications, and technology-related initiatives.

The ideal candidate will have strong organizational and communication skills in both Arabic and English , and be familiar with software project management, IT systems, and remote team coordination .

Key Responsibilities

  • Act as the primary point of contact between the CEO and internal/external stakeholders.
  • Manage the CEO’s calendar, meetings, appointments, and travel plans efficiently.
  • Prepare and organize reports, project updates, and presentations for management meetings.
  • Support the CEO in managing software development and IT-related projects, ensuring deadlines and deliverables are met.
  • Coordinate and follow up with technical teams, developers, testers, and other departments.
  • Assist in planning and tracking projects, milestones, and progress using tools like Trello, Asana, or Jira.
  • Maintain strict confidentiality and handle sensitive information with discretion.
  • Draft, translate, and proofread correspondence and documents in Arabic and English.
  • Ensure timely communication, task follow-ups, and daily/weekly status reports to the CEO.
  • Handle basic software testing coordination, reporting issues, and collecting feedback.
  • Support in researching new tools, software, and technology solutions that improve productivity and project management.

Qualifications & Skills

  • Bachelor’s degree in Business Administration, Information Technology, or a related field.
  • Minimum 2 years of experience as an Executive Assistant, Project Coordinator, or similar role (preferably in a tech or software environment).
  • Excellent command of Arabic and English (spoken and written).
  • Strong knowledge of IT concepts, software projects, and testing processes.
  • Proficiency with Microsoft Office, Google Workspace, and project management tools (Asana, Trello, Jira, Notion, etc.).
  • Ability to manage time, prioritize tasks, and meet deadlines in a remote environment.
  • High level of integrity, discretion, and professionalism.
  • Excellent organizational, analytical, and problem-solving skills.
  • Strong communication and interpersonal skills, able to work with multi-cultural, distributed teams.
