EXECUTIVE SECRETARY (FEMALE)

We are seeking a highly organized, proactive Executive Secretary to support our senior leadership and help streamline executive operations.

Position summary The Executive Secretary provides comprehensive administrative and secretarial support to senior executives, ensuring efficient operation of the executive office. This role requires exceptional organizational skills, discretion with confidential information, superior communication abilities, and the capacity to manage multiple priorities with minimal supervision.

Key responsibilities

  • Manage complex executive calendars: schedule meetings, coordinate internal and external appointments, and resolve scheduling conflicts.
  • Prepare, edit, proofread, and format correspondence, reports, presentations, and other documents.
  • Screen phone calls, emails, and other communications; prioritize and route messages as appropriate.
  • Arrange domestic and international travel, prepare itineraries, and manage travel expense reports.
  • Coordinate and support meetings: prepare agendas, take minutes, follow up on action items, and distribute meeting materials.
  • Maintain confidential files and records; handle sensitive information with discretion.
  • Liaise with internal teams, clients, board members, and external stakeholders on behalf of the executive.
  • Assist with project tracking, special initiatives, and ad-hoc administrative tasks as required.
  • Support basic HR or office administration tasks when needed (e.g., onboarding logistics, vendor coordination).

Qualifications

  • Bachelor’s degree in Business Administration, Office Management, or related field preferred; equivalent experience considered.
  • Minimum 3–5 years’ experience in an executive secretary, executive assistant, or similar high-level administrative role supporting senior management.
  • Proficiency in MS Office suite (Word, Excel, PowerPoint, Outlook); familiarity with calendar and meeting platforms (e.g., Teams, Zoom).
  • Excellent written and verbal communication skills.
  • Strong organizational skills with the ability to prioritize, multitask, and meet tight deadlines.
  • High degree of professionalism, discretion, and confidentiality.
  • Attention to detail and strong problem-solving skills.
  • Ability to work independently and as part of a team.
  • Additional languages and/or experience in [industry sector used by AU Group] is a plus.
