Position Title: Executive Assistant / Secretary – Signage & Outdoor Media

Job Overview:

Emirates Talent Solution is seeking a highly organized and proactive Executive Assistant / Secretary for a leading signage and outdoor media company based in Sharjah, UAE. The ideal candidate will be responsible for providing comprehensive administrative support to senior leadership, ensuring smooth communication, scheduling, and office operations in a fast-paced environment.

Key Responsibilities:

Executive & Administrative Support

  • Manage calendars, appointments, and daily schedules for senior management
  • Prepare and format business documents, presentations, and internal reports
  • Maintain organized and confidential filing systems for executive-level correspondence

Communication & Coordination

  • Act as a liaison between executives and internal/external stakeholders
  • Arrange travel logistics including visa processing, flight bookings, and hotel reservations
  • Ensure efficient communication across departments and business units

Meeting & Event Coordination

  • Organize and coordinate internal meetings, exhibitions, and corporate events
  • Draft agendas, record minutes, and monitor follow-ups on action items
  • Prepare event materials and manage meeting logistics

Confidentiality & Professional Conduct

  • Handle sensitive information with discretion and professionalism
  • Ensure proper storage and control of confidential documentation

Office & HR Support

  • Support day-to-day office administration and procurement of office supplies
  • Assist HR with onboarding, documentation, and employee coordination tasks

Requirements:

  • Bachelor’s degree in Business Administration, Secretarial Studies, or a related discipline
  • 5–7 years of relevant experience in an executive support role, preferably in the signage or media industry
  • Strong proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Excellent English communication skills (Arabic is a plus)
  • Strong organizational skills and ability to multitask under pressure
  • High level of discretion, attention to detail, and time management skills
  • Prior experience in the signage or outdoor advertising industry is an added advantage

Job Type: Full-time

Pay: AED4,000.00 - AED7,000.00 per month

Ability to commute/relocate:

  • Sharjah: Reliably commute or planning to relocate before starting work (Required)

Experience:

  • Signage & Outdoor Media: 5 years (Required)
