We are looking for a mature, highly professional, and self-driven Secretary to support the General Manager in day-to-day executive functions. This role extends beyond routine administrative tasks — it requires someone who can anticipate needs, make independent decisions, and communicate confidently on behalf of the General Manager. The ideal candidate will possess strong organizational and interpersonal skills and be able to handle sensitive information with the utmost discretion and professionalism.

Key Responsibilities

  • Manage the General Manager’s calendar, appointments, and meetings.
  • Coordinate internal and external communications on behalf of the GM.
  • Handle confidential and sensitive information with strict discretion.
  • Prepare correspondence, reports, memos, presentations, and other required documents.
  • Arrange domestic and international travel, accommodations, and logistics for the GM.
  • Organize and support meetings, prepare agendas, take minutes, and follow up on action items.
  • Serve as the first point of contact for the GM’s office — screen calls, emails, and visitors.
  • Maintain well-organized digital and physical filing systems.
  • Liaise professionally with department heads, clients, and external stakeholders.
  • Provide general administrative assistance and support executive-level projects as assigned.

Qualifications & Requirements:

Education:

  • Bachelor’s Degree or Diploma in Business Administration, Secretarial Studies, or a related field.

Experience:

  • Minimum 7–10 years of experience in a senior administrative or executive assistant position, preferably supporting C-level or senior leadership.
  • Proven ability to work independently, show initiative, and make well-informed decisions.

Skills & Competencies:

  • Exceptional written and verbal communication skills.
  • High level of discretion, integrity, and professionalism.
  • Strong organizational, time management, and multitasking abilities.
  • Ability to manage pressure, tight deadlines, and confidential matters.
  • Proficiency in MS Office (Word, Excel, Outlook, PowerPoint); experience with ERP systems or SharePoint is an advantage.
  • Calm, diplomatic, and assertive professional demeanor.
