Qualifications & Experience:
- Education: Graduate / Diploma in Materials Management, Supply Chain, Commerce, or Engineering.
- Experience: 3–4 years of experience in storekeeping, warehouse, or inventory management, preferably in an educational institution
- Technical Skills:
- Hands-on experience with SAP (MM module) or similar ERP systems.
- Proficiency in MS Excel and other MS Office applications.
- Knowledge of inventory control techniques and warehouse management principles.
1. Inventory & Stock Management
- Maintain accurate records of all incoming and outgoing materials including stationery, housekeeping supplies, uniforms, furniture, sports goods, laboratory items, and office consumables.
- Implement systematic storage and labeling of all stock items for easy identification and retrieval.
- Monitor stock levels regularly and initiate replenishment as per school requirements and approval processes.
- Conduct periodic stock verification (monthly, quarterly, and annual) and reconcile discrepancies between physical and system records.
- Apply proper inventory control methods such as FIFO (First-In-First-Out) to minimize wastage or expiry of consumables.
2. Procurement Coordination
- Raise material requisitions based on consumption and requirements received from departments (academic, admin, housekeeping, labs, sports, etc.).
- Coordinate with the purchase department for timely procurement and delivery of approved items.
- Verify the quality and quantity of goods received against purchase orders and supplier invoices.
- Maintain proper documentation such as Goods Receipt Notes (GRN) and material issue slips.
3. Store Operations & Housekeeping
- Ensure proper maintenance, cleanliness, and safety of store areas.
- Organize stock systematically (by category and department) to maintain accessibility and order.
- Supervise store helpers or attendants and assign daily tasks related to material handling.
- Implement and maintain 5S (Sort, Set, Shine, Standardize, Sustain) principles in store management.
4. Record Keeping & System Management
- Enter all transactions (receipts, issues, returns, adjustments) into the inventory management system or ERP (SAP/MM or equivalent).
- Maintain updated item masters, stock ledgers, and consumption reports.
- Generate periodic reports on stock status, consumption patterns, and reorder levels for management review.
- Ensure data accuracy, timely posting of entries, and proper documentation for internal audits.
5. Coordination with Departments
- Liaise with academic departments, laboratories, administration, housekeeping, and canteen for timely issue and return of materials.
- Support annual budgeting by providing data on consumption trends and future requirements.
- Communicate effectively with the finance and procurement teams for invoice verification and vendor payments.
- Assist in planning and execution of annual school events by ensuring availability of necessary materials and equipment.
6. Compliance & Safety
- Follow all school policies and procedures related to store operations, safety, and procurement.
- Ensure safe handling and storage of cleaning chemicals, laboratory supplies, and electrical materials.
- Support audit teams during internal or external audits by providing required records and reports.
- Maintain confidentiality of vendor and inventory-related information.
