Export Assistant-Edible Oil

An Export Assistant in the edible oil and fats industry manages the end-to-end documentation, logistics, and compliance required to move bulk or packed oil products across international borders. Key responsibilities include preparing shipping documents, coordinating with CHA (Customs House Agents) and freight forwarders, ensuring compliance with food safety regulations, and managing customer documentation for payments. Key Job Responsibilities

  • Export Documentation Management:
  • Prepare, review, and verify essential export documents: Commercial Invoices, Packing Lists, Bill of Lading (B/L), Certificates of Origin, and Country-Specific Certificates.
  • Prepare Pre-shipment and Post-shipment documents, including Shipping Bills, Bills of Exchange, and Insurance Certificates.
  • Handle Certificate of Analysis (COA) for edible oil quality compliance.
  • Logistics & Shipment Coordination:
  • Coordinate with shipping lines, container terminals, and freight forwarders to book vessels and containers.
  • Track shipment status from dispatch to final delivery, ensuring timely movement to avoid demurrage.
  • Handle logistics for specialized shipments like bulk tankers or ISO tanks, often required for oils and fats.
  • Regulatory Compliance & Customs:
  • Ensure compliance with FSSAI (Food Safety and Standards Authority of India) and other international quality standards.
  • Coordinate with Customs House Agents (CHA) for smooth customs clearance and submission of documents.
  • Stay updated on Foreign Trade Policy (FTP), EPCG licenses, RoDTEP, and MEIS schemes.
  • Customer Service & Sales Support:
  • Act as the primary contact for international buyers regarding shipment status, tracking, and documentation inquiries.
  • Assist the sales team with customer quotations, Proforma Invoices (PI), and sales orders.
  • Handle, document, and resolve customer complaints regarding shipment delays or product issues.
  • Banking & Financial Coordination:
  • Manage Letter of Credit (LC) documentation and ensure compliance with UCP 600/700 rules.
  • Coordinate with banks for submission of export documents to ensure timely payment realization (E-BRC).
  • Internal Coordination & Reporting:
  • Collaborate with production, packing, and warehouse teams to align dispatch schedules with production timelines.
  • Maintain accurate records and digital files of all export transactions in ERP systems (e.g., SAP).
  • Generate MIS reports for management on pending orders, shipping status, and sales analytics.

Required Skills & Qualifications

  • Experience: 1-5 years in export documentation, specifically in manufacturing or FMCG (edible oils preferred).
  • Knowledge: Strong understanding of Incoterms, HS Codes for edible oils, and FOSFA (Federation of Oils, Seeds and Fats Associations) terms.
  • Technical Skills: Proficiency in MS Office (Excel, Word) and ERP systems.
  • Soft Skills: High attention to detail, strong organizational skills, and effective communication.

Job Types: Full-time, Permanent

Pay: ₹40,000.00 - ₹50,000.00 per month
